The Principal is the owner of a rapidly growing family-owned group of transportation, logistics, and warehousing companies operating throughout the United States. As the family establishes its long-term residence in Palm Beach Gardens, they are building a trusted support team dedicated to helping both their business interests and personal lives operate seamlessly.

Primary ResponsibilitiesExecutive Support

  • Manage complex executive calendars, meetings, and scheduling
  • Coordinate business travel, accommodations, and detailed itineraries
  • Prioritize communications, correspondence, and executive follow-up
  • Prepare daily agendas and executive briefings
  • Track critical deadlines and ongoing projects
  • Coordinate with senior leadership, attorneys, accountants, financial advisors, lenders, and outside professionals
  • Support multiple business ventures and special initiatives
  • Maintain complete confidentiality regarding business matters

Family Office & Personal Support

  • Coordinate family calendars, appointments, and daily logistics
  • Schedule medical appointments and oversee health-related scheduling
  • Assist with children’s educational activities and communications
  • Coordinate birthdays, holidays, special events, and family travel
  • Maintain organized records for important family documents
  • Anticipate personal needs before they become urgent

Estate & Household Management

  • Coordinate household staff, vendors, contractors, and service providers
  • Oversee maintenance of multiple residences
  • Manage landscaping, pool services, housekeeping, repairs, and preventative maintenance
  • Coordinate vehicle registrations, insurance, warranties, and maintenance schedules
  • Assist with insurance renewals and household projects

Financial & Administrative Coordination

  • Coordinate timely payment of household expenses and authorized invoices
  • Organize financial records, receipts, and supporting documentation
  • Monitor recurring obligations and important payment deadlines
  • Work closely with accountants, bookkeepers, attorneys, and financial professionals
  • Reconcile statements and identify discrepancies for review
  • Maintain strict financial controls and confidentiality

Travel & Lifestyle Management

  • Arrange domestic and international travel
  • Prepare detailed travel itineraries
  • Coordinate airport transportation and reservations
  • Book hotels, restaurants, meetings, and family vacations
  • Manage memberships, reservations, and lifestyle logistics

Qualifications

The successful candidate will possess:

  • Minimum five years supporting senior executives, entrepreneurs, family offices, or high-net-worth individuals
  • Experience managing complex executive calendars and competing priorities
  • Demonstrated ability to handle confidential financial and personal information
  • Outstanding written and verbal communication skills
  • Strong project management and organizational abilities
  • Advanced proficiency with Microsoft Office, Google Workspace, Apple devices, and modern productivity software
  • Experience utilizing AI tools such as ChatGPT to improve efficiency
  • Valid driver’s license and excellent driving record
  • Ability to successfully complete comprehensive background and reference checks
