ROLE

SUMMARY

The Executive Coordinator provides high-level administrative, operational, and organizational support to senior leadership. This role requires excellent judgment, discretion, professionalism, high attention to detail, and the ability to manage competing priorities in a fast-paced and changing environment. The Executive Coordinator serves as a trusted partner to the executive team, helping coordinate schedules, communications, meetings, travel, documents, and key business activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage complex executive calendars, including scheduling internal and external meetings, customer meetings, sales-related discussions, leadership sessions, appointments, and recurring business reviews; proactively resolve scheduling conflicts and prioritize requests based on business needs.
  • Plan, coordinate and support executive meetings, leadership meetings, sales meetings, customer meetings, board or committee meetings, and cross-functional business discussions, including preparing agendas, gathering materials, organizing presentations, documenting follow-up items, and distributing meeting information in a timely manner.
  • Prepare, edit, proofread, and format professional correspondence, memos, presentations, reports, proposals, customer-facing materials, meeting summaries, and other business documents to ensure accuracy, consistency, and a polished final product.
  • Handle confidential and sensitive information with discretion and professionalism, including executive communications, customer information, pricing or proposal details, contracts, personnel matters, business strategies, and financial or operational reports.
  • Coordinate travel arrangements for executives and other designated personnel, including flights, lodging, ground transportation, itineraries, customer visit logistics, meeting schedules, and related expense reports when needed.
  • Screen, prioritize, and route emails, calls, correspondence, meeting requests, customer inquiries, vendor communications, and internal requests on behalf of executives, using sound judgment to determine urgency, appropriate response, and required follow-up.
  • Track deadlines, action items, approvals, customer follow-ups, sales-related commitments, project updates, and executive deliverables to support timely completion and accountability across departments.
  • Serve as a professional liaison between executives, internal teams, sales staff, clients, prospects, vendors, board members, and external partners to support clear communication, timely responses, and effective coordination of business priorities.
  • Maintain accurate and organized electronic and physical files, records, contracts, customer documents, proposals, meeting materials, reports, presentations, and other business documents in accordance with company procedures and confidentiality expectations.
  • Support special projects, research assignments, process improvements, executive initiatives, sales support activities, and cross-functional business priorities by gathering information, coordinating tasks, tracking progress, and preparing summaries or status updates.
  • Conduct basic research and compile information related to customers, prospects, vendors, competitors, industry activity, business opportunities, or operational matters to support executive planning and decision-making.
  • Assist with internal and external communications by drafting announcements, meeting recaps, customer follow-up messages, leadership updates, reminders, and other communications as requested.
  • Monitor executive and departmental priorities, anticipate upcoming needs, identify potential scheduling, communication, or follow-up gaps, and recommend practical ways to improve efficiency, organization, and responsiveness.
  • Build and maintain effective working relationships with executives, employees, customers, vendors, and external stakeholders while representing the organization in a professional and service-oriented manner.
  • Regular and predictable attendance on site.

SUPERVISORY RESPONSIBILITIES

  • May oversee the scheduling, assignments, and daily workflow of new/ targeted staff.

QUALIFICATIONS

EDUCATION and EXPERIENCE

  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in business administration, communications, marketing, management, or a related field preferred.
  • Minimum of 3 years of experience in administrative support, executive coordination, office coordination, sales support, customer service, or a related role required.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES

  • Strong organizational skills and ability to manage multiple priorities, deadlines, and competing requests.
  • Excellent written and verbal communication skills.
  • Strong calendar management, scheduling, meeting coordination, and follow-up tracking skills.
  • Ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Proficiency with Microsoft Office Suite, Google Workspace, calendar systems, video conferencing platforms, and general office technology.
  • Basic understanding of sales support, customer relationship management, customer meeting coordination, and follow-up tracking.
  • Strong attention to detail and accuracy in preparing documents, maintaining records, processing expenses, and coordinating logistics.
  • Ability to interact professionally with executives, employees, customers, prospects, vendors, and external partners.
  • Ability to work independently, take initiative, anticipate needs, and follow through on assignments.
  • Strong problem-solving skills and ability to adapt to changing priorities.

Ability to commute/relocate: Burnsville, MN. Reliably commute or plan to relocate before starting work.

Pay: $65,000.00 – $85,000.00 per year
