Job Overview:

The Executive Coordinator position is primarily responsible for ensuring all interactions with the Executive Office are productive and positive. Although the Executive Coordinator reports directly to the President/CEO, the position is also expected to assist staff members, Board members, Chamber members, and the public.

Duties and Responsibilities Include:

Executive Office Support – 45%.

  • · Coordinate and calendar meetings and field calls and emails for the President/CEO.
  • · Prepare and draft correspondence to include memorandums, e-mails, reports, and presentations on behalf of President/CEO.
  • · Relay pertinent information, necessary materials, and other tasks as directed.

Corporate Secretarial Support – 35%.

  • · Manage and host Board and Board-level committee activities on behalf of the President/CEO.
  • · Liaise with staffers of Chamber committees and subsidiaries: Hollywood Chamber PAC, Hollywood Chamber Community Foundation, Hollywood Historic Trust, and Hollywood Sign Trust.
  • · Prepare and distribute meeting notices and packets for Board and Board-level committee meetings.
  • · Record/file minutes and manage accessible filing system.
  • · Maintain accurate rosters of Board and Board-level committees; lead on-boarding of new Board members.
  • · Maintain thorough knowledge of the Board bylaws and ensure compliance.

Operational Support – 20%.

  • · Manage conference room and support all departments and missions when available. Ensure functionality/upkeep of conference room facility, including audio visual system set-up/use/tear-down.
  • · Represent Chamber and President/CEO at Industry/Signature/Walk of Fame ceremony events, participate in debriefs/feedback, cover for office manager when needed, and other tasks.
  • · Perform and assist with other duties as assigned by the President/CEO.

Skills:

  • · Minimum 2 years’ professional office experience in an administrative or secretarial role.
  • · Experience preferred in government, nonprofit or private sector setting.
  • · Experience working with a diverse group of stakeholders.
  • · Strong written and verbal communication skills with close attention to detail.
  • · Works well under time constraints.
  • · An effective problem solver with a strong work ethic.
  • · Strong leadership skills; experience handling multiple tasks and project management experience.
  • · Must possess excellent interpersonal skills with the ability to communicate successfully in the English language with others in a professional and objective manner, in both oral and written form.
  • · Must be proactive and assertive with effective decision-making skills and abilities.
  • · Must be highly organized and able to successfully multi-task utilizing effective time management skills.
  • · Must have a strong sense of urgency to respond to inquiries timely and professionally.
  • · Must possess effective and active listening abilities.
  • · Is comfortable with change.
  • · Ability to work under minimal supervision in a fast-paced work environment.
  • · Must have high attention to detail along with a high level of accuracy.
  • · Must be technology proficient, including with Microsoft Office suite, Adobe, and Zoom, with aptitude to acquire expertise across additional platforms, software, and hardware as needed. Proficiency with management software is a plus.
  • · Regular work-site attendance is required.
  • · Must be able to behave professionally at all times while exercising very high levels of confidentiality and discretion.

Preferred:

Associate degree or equivalent combination of relevant education and experience required. An advanced degree is a plus, as are bilingual or multilingual skills.

Compensation is competitive with similar nonprofit organizations and is commensurate with level of experience.

Job Type: Full-time

Pay: $25.23 – $30.39 per hour
