About The Role
The Executive Associate II for US Marketing at Bristol Myers Squibb provides vital administrative support to senior leadership, including the Vice President, Executive Director, and Directors within the US Commercial Marketing team. This role is integral to ensuring the smooth operation of executive functions, facilitating effective communication, scheduling, and project management. The ideal candidate is a proactive, highly organized, and adaptable professional capable of managing a demanding workload in a fast-paced environment. This position offers the opportunity to engage with high-level strategic initiatives, support a US launch brand, and collaborate across multiple departments and teams. The Executive Associate will also support team activities related to systems such as Workday, SharePoint, and Microsoft Teams, contributing to the overall efficiency and effectiveness of the marketing organization.
Qualifications
- Minimum of 8 years of administrative experience supporting senior executives and large teams
- Proven ability to manage complex calendars, travel arrangements, and expense reports
- Excellent verbal and written communication skills
- Strong interpersonal skills with the ability to interact professionally at all organizational levels
- Demonstrated discretion and confidentiality in handling sensitive information
- Proficiency in Microsoft Office Suite, SharePoint, Teams, and Workday
- Ability to prioritize tasks effectively and adapt to changing priorities
- Strong decision-making and problem-solving skills
- Experience supporting marketing or launch initiatives is preferred
- High level of professionalism, initiative, and collaborative spirit
Responsibilities
- Provide proactive and comprehensive administrative support to senior marketing leadership, including calendar management, scheduling meetings, and coordinating travel arrangements
- Prepare and review expense reports, supporting recruiting activities, onboarding, and offboarding processes
- Organize and facilitate meetings, including assembling materials, preparing PowerPoint presentations, and managing pre-reads
- Serve as a resource for the marketing team on systems such as Workday, IT inquiries, and budget management
- Anticipate the needs of managers and take proactive steps to ensure operational efficiency
- Support the onboarding and offboarding processes, ensuring a seamless experience for new and departing team members
- Assist with project-focused tasks, ensuring deadlines are met and deliverables are of high quality
- Maintain professional and technical knowledge by staying current with company training modules and system updates
- Support team culture initiatives and foster a positive, collaborative work environment
- Handle sensitive information with discretion and uphold confidentiality standards
- Adapt quickly to changes in priorities, providing solutions and course corrections as needed
- Collaborate effectively with cross-functional teams and external partners to support business objectives
