Overview

Executive Assistant to the CEO Jobs in San Mateo, CA at Brain Technologies, Inc.

Job Title: Executive Assistant to the CEO

Job Type: Full-time, In-person

Company Overview

Brain Technologies is an AI company building Natural OS, an AI-native operating system that replaces the traditional app grid with intention-based interaction — technology that understands what you want to do rather than making you navigate to it. In April 2026 we launched the Natural AI Phone in Japan with SoftBank as our exclusive telecom partner, the first large-scale commercial deployment of an AI-native OS, with global expansion underway. You’d join a small team at a pivotal moment, working directly alongside the CEO as we scale.

Role Summary

This is a high-trust, high-tempo role for someone who is exceptionally organized, naturally anticipates what’s next, and is fluent with modern AI tools. As the CEO’s Executive Assistant, you’ll be the operational backbone behind a fast-moving founder — building the systems that keep their time, priorities, and commitments running smoothly, and creating real leverage for the highest-stakes work in the company.

This is an in-person role. You’ll be in the room where decisions happen, which is exactly why we want someone present, proactive, and plugged in.

You’ll work directly alongside the CEO from day one — close to the strategy, the decisions, and the people who make them. It’s a rare seat for someone who wants to learn how a company runs at the top, build a track record of trust and ownership, and grow quickly into broader responsibility.

Responsibilities

  • Own the CEO’s calendar: schedule, triage, and protect their time against competing demands.
  • Run inbox and communications triage — draft replies, flag what matters, and make sure nothing falls through the cracks.
  • Plan and coordinate meetings, travel, and logistics end-to-end, with agendas, prep, and follow-ups.
  • Build lightweight systems and AI-assisted workflows for recurring tasks, notes, and tracking.
  • Track action items and deadlines across projects, and keep the CEO ahead of every commitment.
  • Handle a modest amount of personal and ad-hoc coordination (roughly 10–20% of the role) that keeps the CEO focused on the highest-leverage work.

Qualifications

  • A planner by nature. You think two steps ahead, build systems instead of one-off fixes, and find genuine satisfaction in a clean calendar and a closed loop.
  • Driven and fast-learning. You’re energized by ownership and raise your game to meet a high bar — we care more about judgment, drive, and reliability than the length of your resume.
  • AI-native. You reach for tools like ChatGPT, Claude, and AI schedulers/note-takers instinctively, and you use automation to save time and work smarter.
  • Unflappable and discreet. You handle sensitive information, shifting priorities, and last-minute changes without losing composure.
  • A clear, fast communicator who writes well and follows through every single time.
  • Experience in an EA, coordinator, operations, or comparable fast-paced support role (roughly 2+ years or equivalent; internships and adjacent experience count).
  • Excellent written and verbal communication.
  • Strong command of calendar, email, and productivity tools (Google Workspace / Microsoft 365, Slack, project trackers).
  • Sound judgment with confidential information and a bias toward action.

Salary and Benefits

Base salary: $75,000 – $85,000, plus an early-employee equity grant and full benefits.

As a seed-stage company, we intentionally weight this offer toward ownership. A meaningful equity grant means you’re joining early enough that your stake grows with the company.

Pay: $75,000.00 – $85,000.00 per year

Benefits:

  • Dental insurance
  • Health insurance
  • Paid time off
  • Vision insurance
