About the Opportunity
The Executive Assistant to the CEO plays a crucial role in supporting the CEO and leadership team to ensure efficient business operations. This position manages day-to-day activities, facilitates communication, and drives key initiatives forward. It offers significant exposure to executive leadership, contributing to operational improvements and company coordination in a dynamic, collaborative environment.
Responsibilities
- Calendar and Schedule Management: Manage the CEO’s calendar and prioritize meetings. Coordinate internal and external meetings across multiple time zones, including organizing virtual and conference calls.
- Travel and Expense Coordination: Arrange domestic and occasional international travel, and prepare comprehensive travel briefs and logistics documents. Submit and reconcile expense reports, and support travel coordination for the CFO as needed.
- Meeting Preparation: Prepare agendas, meeting materials, and follow-up items. Assist with Board of Directors meetings and investor scheduling, including preparing and distributing board materials and executive updates.
- Event Planning: Coordinate leadership meetings, executive offsites, and general company meetings. Organize company events, team offsites, and internal gatherings while managing vendors, venues, timelines, and logistics.
- Communication Management: Manage and prioritize CEO communications, maintaining strict confidentiality. Draft emails, announcements, and meeting recaps.
- Operational Support: Develop and improve operational systems and processes to enhance efficiency within the CEO’s office. Support strategic initiatives and assist with new hire onboarding and general administrative tasks.
- Culture Building: Collaborate on internal culture-building and employee engagement initiatives.
Requirements
- Professional Experience: 4+ years of experience supporting senior executives, with specific experience supporting a CEO or executive leadership team. Experience in the SaaS or technology sectors is preferred.
- Software and Tools: Proficient with Google Workspace and Slack. Familiarity with tools like Notion, Asana, Linear, Brex, Ramp, or Expensify is considered a plus.
- Operational Skills: Strong organizational skills, clear communication capabilities, and the ability to handle confidential information professionally.
- Core Competencies: Comfortable working independently in a fast-paced environment. Exposure to board meetings, investor communications, and large-scale event coordination is preferred.
- Technical Innovation: Interest in utilizing AI tools to improve workplace workflows and operational efficiency.
- Remote Setup: Access to reliable high-speed internet and a professional remote workspace.
Compensation & Benefits
Compensation
- Full-Time Salary Range: $60,000–$75,000 annually.
- Part-Time Hourly Rate: $30–$40 per hour.
