Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO in driving the company’s strategic initiatives and daily operations. Responsibilities

  • Manage the CEO’s calendar with precision, scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace tools.
  • Coordinate and facilitate internal and external meetings, including preparing agendas, taking detailed notes, and distributing follow-up action items promptly.
  • Handle all correspondence on behalf of the CEO, including emails, phone calls, and written communication, ensuring timely responses with professionalism and courtesy.
  • Organize and maintain files, records, and documentation through efficient filing systems—both digital and physical—adhering to confidentiality standards.
  • Assist with event planning for company functions, board meetings, or special projects by coordinating logistics, managing invitations, and overseeing event execution.
  • Process expense tracking and invoice processing; perform data entry tasks accurately.
  • Provide personal assistance to the CEO as needed, including managing personal appointments or errands to ensure seamless daily operations.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
  • Demonstrated proficiency in office management tasks such as filing, data entry, transcription, proofreading, and clerical work.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills with professional phone etiquette and customer service orientation.
  • Advanced computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs), and familiarity with multi-line phone systems.
  • Experience with calendar management tools such as Microsoft Outlook Calendar; ability to handle complex scheduling efficiently.
  • Knowledge of office equipment including scanners, and office supplies management.
  • Ability to perform typing quickly and accurately while maintaining attention to detail; experience with transcription preferred.
  • Strong organizational skills complemented by the ability to multitask across various projects simultaneously.
  • Prior experience in personal assistant roles or executive support positions is highly desirable.

Pay: $80,000.00 – $120,000.00 per year
