Job Description
- Provide administrative support to senior leaders, including email correspondence, calendar management, and distribution of memos and letters.
- Coordinate travel arrangements for senior leaders, flights, hotels and car rentals
- Irregular availability outside work hours.
- Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
- Coordinate, plan, organize, and schedule company meetings in the office, off-site, and via Microsoft Teams calls, and all details for the meetings, mealsand travel for participants, as necessary.
- Manage and coordinate expense reporting, invoicing, and basic accounting tasks.
- Liaise with vendors and clients, providing excellent customer service.
- Maintain and record vacation schedules in Peoplesoft.
- Maintain filing system and contact database.
- Negotiate hotel rates for the year.
- Efficiently receive, sort, and distribute incoming mail and packages; prepare and send outgoing correspondence.
- Coordinate and perform courier duties, ensuring timely and secure delivery and pickup of materials.
- Manage logistics for meetings, including ordering and setting up food and coffee services for attendees.
- Provide backup and support to the building manager as needed, assisting with various facilities-related tasks.
Qualifications
- Proven experience as an executive administrative assistant or similar role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills
- Strong communication and interpersonal abilities
- Ability to work independently and as part of a team
- Be able to multi-task
- Must live in London area
- Bilingual is an asset (English and French)
