Role Description

We're looking for an exceptional Executive Assistant to work directly alongside our Founder & CEO, Shaminder Dhillon, in Berlin.

You will be the operational backbone behind ChefCoco's CEO — managing the full surface area of his professional and personal schedule, communications, and commitments so he can focus on the highest impact problems.

This is a dynamic and evolving role — as the CEO's priorities shift, so will yours. You are equally comfortable supporting high-stakes business decisions as you are owning the personal logistics that keep things running.

The single most important quality we are hiring for is relentless execution. You are obsessively detail-oriented — you double and triple-check without being asked, you are prompt, and procrastination simply isn't in your vocabulary. You send the email today. And you're comfortable holding the CEO to that same standard.

Your Responsibilities

Communications Management

  • You have excellent writing skills — you will draft and reply to mail, letters, and correspondence both internal and external
  • Ensure nothing sits unanswered — follow up relentlessly until things are closed

Calendar & Schedule Management

  • Coordinate meetings with various internal and external partners
  • Manage all travel logistics: flights, hotels, transfers, and confirmations

Research & Briefing

  • Prepare concise briefings before key meetings, calls, and decisions
  • Research contacts, companies, and topics as needed — always a clear summary, never a data dump

Expense & Finance Admin

  • Capture, categorise, and file all receipts and expenses promptly
  • Liaise with the accountant and finance team on routine queries and document requests

Logistics Coordination

  • Manage bookings, reservations, and recurring personal logistics to keep the CEO's schedule frictionless
  • Track ongoing commitments — flagging proactively when things are slipping
  • Own the small things that compound: the appointment that needs booking, the follow-up that needs sending, the confirmation that needs chasing

Qualifications

  • Experience is not essential — what matters far more is an exceptionally strong character fit for the qualities this role demands. Any professional background is welcome
  • Bilingual in English and German — written and spoken, both to a high standard
  • Obsessively organised: you run on checklists, systems, and follow-through
  • Proactive by default — you spot what needs doing before being asked
  • Calm under pressure, fast-moving, and quietly confident
  • Comfortable working closely with a founder — direct communication style
  • Berlin-based and available to work fully in-person
