Position Overview
CLIENT seeking a highly organized and dependable Executive Assistant / Personal
Assistant to provide direct support to the CEO. This role requires a proactive and
detail-oriented professional who can manage schedules, coordinate executive-level
meetings, drive follow-through across initiatives, and support the preparation of high- quality presentations and reports.
The ideal candidate has 3-4 years of experience supporting C-level executives,
strong communication skills, and the ability to anticipate needs and operate effectively in a fast-paced environment.
This role requires someone who thrives in a fast-paced environment and can operate
with minimal supervision while maintaining a high level of accuracy and professionalism. The candidate must also be highly responsive, remain available online during working hours, and respond to executive communications in a timely manner.
Key Responsibilities
Executive Support
- Manage and optimize the CEO’s calendar, inbox, priorities, and daily schedule to
- ensure effective time utilization.
- Coordinate executive-level meetings, including scheduling, agenda preparation,
- logistics, and post-meeting follow-ups.
- Track action items and drive consistent follow-through with stakeholders to
- ensure timely completion.
- Maintain visibility over timelines and key deliverables across initiatives.
- Act as a gatekeeper for the CEO’s time by prioritizing requests and
- communications.
- Anticipate needs, identify potential gaps, and proactively resolve issues before
- escalation.
Communication & Coordination
- Serve as a central point of coordination between the CEO and internal teams.
- Draft and refine emails, communications, and correspondence on behalf of the
- CEO with clarity and professionalism.
- Collaborate with department leaders to gather updates, reports, and required
- inputs.
- Ensure clear, timely, and effective communication flow across stakeholders.
- Maintain high responsiveness to messages, emails, and executive requests
- during working hours.
Presentation & Reporting Support
- Assist in preparing presentations, reports, and executive briefing materials that
- are accurate, well-structured, and executive-ready.
- Consolidate and synthesize data from multiple teams into clear, concise, and
- actionable reports.
- Track, organize, and present key updates, progress, and action items for
- executive visibility.
- Ensure all materials meet a high standard of accuracy, clarity, and
- professionalism.
Administrative & Personal Support
- Coordinate travel arrangements, itineraries, and scheduling logistics.
- Provide personal administrative support as needed.
- Maintain well-organized records, documents, and digital filing systems.
- Handle confidential and sensitive information with the highest level of discretion.
Required Qualifications
- 3–4 years of experience as an Executive Assistant or Personal Assistant
- supporting C-level executives.
- Proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Planner) and remote
- collaboration tools.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Highly proactive, detail-oriented, and conscientious.
- Strong ability to follow up, manage timelines, and ensure task completion.
- Strong reporting capability with the ability to present information clearly and
- accurately.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and ability to work independently.
- High level of professionalism, discretion, and confidentiality.
- Ability to remain highly responsive and available during working hours.
Preferred Qualifications
- Experience working in a manufacturing or operations-focused company.
- Exposure to financial reports or business performance reporting.
- Experience with NetSuite or other ERP systems is a plus.
