MOST ADMIN JOBS KEEP YOU BUSY. THIS ONE KEEPS YOU ESSENTIAL.
You won’t be filing papers in a back office. You’ll be sitting directly alongside the Founder of a fast-growing, four-brand luxury security company — handling the emails, shipments, systems, and operational tasks that keep real revenue moving.
ING Holdings, Inc. has been in the security industry for over 30 years. We serve luxury vehicle owners, high-end dealerships, and professional locksmiths across Southern California and nationwide. We have four active brands, a growing team, and a clear path to national market leadership.
What we don’t have is someone to run the details so the Founder can run the business.
That’s where you come in.
—
WHAT THIS ROLE ACTUALLY IS
This is part executive assistant, part operations support, part tech-savvy problem solver. You’ll own the Founder’s inbox, keep shipping running clean, answer phones when the team is occupied, and execute operational projects from start to finish — without being reminded twice.
You’ll also help build out the backend of the software systems that run this business: GoHighLevel, Jobber, Shopify, and more. If you’re someone who lights up when you learn a new platform and figures it out fast — this is a role where that skill gets used every single day.
—
WHAT YOU’LL DO
Your priorities, in order:
1. Customer, payment, and dispatch — anything affecting today’s revenue comes first
2. Shipping and receiving — every shipment logged, every deadline met
3. Founder-assigned tasks — executed completely, without hand-holding
4. Email management — inbox organized, flagged, and actioned daily
5. Filing and admin — HR records, compliance docs, invoices, all findable and current
6. Software and system projects — backend builds, forms, listings, and setups
Day to day, that looks like:
– Managing the Founder’s email and calendar
– Backing up the sales and dispatch team on phones and customer follow-up
– Reconciling invoices and following up on outstanding payments
– Logging and coordinating inbound and outbound shipments
– Building out GoHighLevel, Jobber, and Shopify backends
– Keeping HR files, onboarding documents, and compliance records current and organized
– Light personal assistant support for the Founder as needed

WHAT’S IN IT FOR YOU
$24.00–$30.00/hr based on your experience — paid from day one, including training.
Performance incentive of up to 10% after onboarding.
Company-sponsored health, dental, and vision insurance.
Five paid company holidays + California sick leave.
Direct, daily access to Founder-level leadership — you’ll learn more here in six months than most people learn in two years at a corporate job.
A real growth path to Operations Manager — not based on how long you’ve been here, but on what you deliver.
Company-sponsored professional development and industry events.
—
SYSTEMS YOU’LL USE
You don’t need to know all of these on day one. You do need to learn them fast.
– Jobber (dispatch and job management — new, being onboarded now)
– GoHighLevel (CRM and marketing automation)
– Shopify (product listings and online store)
– Gusto (HR and payroll)
– Driver (payment processing)
– Google Workspace (Docs, Sheets, Drive, Gmail, Calendar)
QuickBooks experience is NOT required.
—
WHO THRIVES HERE
You take direction and run with it. You solve small problems on your own and bring big ones to the Founder with a proposed solution already formed. You don’t need constant check-ins, and you don’t change systems without approval.
You write well — emails, follow-ups, and messages that are clear and professional without needing an edit.
You’re calm. The pace here is fast. You’re the kind of person who reduces chaos, not adds to it.
You’re good with software and you prove it by learning fast, not by talking about it.
—
THIS ROLE IS NOT FOR YOU IF:
– You get defensive when you’re corrected
– You need emotional reassurance to do your job
– Your written communication isn’t clean and professional
– You have attendance or reliability issues
– You’re someone who creates drama in the workplace
We’re a small, fast-moving team. There’s no room for any of the above.
—
WHAT SUCCESS LOOKS LIKE
At 30 days: Shipping is current. Email is organized. Invoices are reconciled. You’re asking fewer questions every week — not more.
At 90 days: The Founder can hand you a task and trust it gets done. You’re running dispatch backup confidently. You’ve taken real things off her plate without being pushed.
—
HONEST WARNING
This is not a passive admin role. You will be pulled between phones, email, shipping, customer follow-up, software, and Founder-assigned projects — often at the same time. The ability to prioritize correctly, move quickly, and never drop a detail is not a preference. It is the job.
If that sounds like exactly where you do your best work — apply.
