Executive Assistant & Office Support (Entry-Level, Promotable) Jobs in Ledgewood at Digitize

This is an entry-level, in-person office role for someone serious about building a career.

This is one of the fastest ways to move yourself forward. You’ll work directly alongside the CEO and our executives, see how the business runs, and pick up the kind of lessons that help you advance.

Most of your day is quiet, computer-based work: travel, scheduling, documents, spreadsheets, email, and helping get new applicants set up for testing and interviews.

The interesting part is what interrupts you: The CEO or an executive walks up and hands you something on the spot. You figure out what’s needed, exercise judgment while working within existing procedures, and get the job done. Those interruptions are where the real learning happens.

The right person sees these interruptions as opportunities rather than problems. If that’s you, you can expect to move into a higher-level position within your first 12 months. That’s precisely what we want for you as part of our promote-from-within culture.

Digitize builds fire alarm monitoring equipment used by cities, campuses, military bases, utilities, and critical facilities worldwide. That’s why we need a sharp, dependable person to help keep our executives, front office, meetings, training classes, and daily operations running smoothly.

What you’ll do:

  • Support the CEO, Vice President, executives, and managers
  • Coordinate meetings, schedules, corporate travel, and office logistics
  • Help move job applicants through testing and interviews
  • Support factory training classes (setup, materials, coordination, follow-up)
  • Keep the office organized: supplies, vendors, documents, internal requests
  • Greet visitors and cover the front office
  • Answer calls professionally and make sure messages get handled (we’re not a high-volume phone office, but calls still matter)
  • Handle the miscellaneous tasks where accuracy and follow-through count

Who we’re looking for:

You don’t need prior office experience, so don’t worry about that.

This is an entry-level position, so it’s probably not right if you need a high salary from Day 1. Overtime is paid hourly at the typical 1.5x rate (and we can always use more help if you deliver good results), so some extra hours can have a big impact on your pay during your first several weeks and months.

If you’re a strong performer, you can potentially start earning discretionary bonuses for excellent work. We’ve seen that happen within the first 3-6 months for great employees.

Beyond that, we want someone who is:

  • Smart, dependable, and comfortable on a computer all day
  • Organized enough to track details and push projects forward without being reminded
  • Able to focus on routine work, then shift gears fast when something new arrives
  • Professional on the phone, in email, and in person
  • Good at following directions and asking sharp questions when something’s unclear
  • Steady, positive, and easy to work with
  • Serious about building a career here

You should be comfortable with everyday business software (documents, spreadsheets, calendars, email) and quick to pick up new systems. You don’t need to be a programmer or engineer.

Why this role matters:

This position puts you in direct contact with leadership, operations, training, and customer support: the whole picture of how a real technology company runs. We use this role to find people who can grow.

Do excellent work over your first several months, and (as discretionary bonuses enter the picture) your first full year of earnings may grow beyond the job offer you initially accepted.

Eventually, you might move up into Purchasing, Operations, Accounting, Marketing, Documentation, Sales, Customer Support, or other roles. We don’t want anyone to camp out in this role forever. Promoting you reopens our entry point for your next great coworker.

Our work culture:

We value people who show up, follow through, and get things done. We’re a for-profit company with real customers, real deadlines, and products that protect critical facilities. We expect a lot, and we invest in people who rise to the challenge.

Your next steps:

This is a real hiring process, not a one-click application. Qualified applicants complete a brief personality assessment, a short timed cognitive skills test, and a few written questions. We’ll reply to your initial application through Indeed Chat.

Office experience is not required. If you’re coming from retail, service, or somewhere outside an office, just be sure an office job is really what you want. As mentioned, the days here are mostly quiet and focused, which can feel very different from work you may have done before. We want to be sure you’re setting up for a career you’re going to love.

Because this is a fully in-person role, think about your daily commute. People who can be here consistently, and who don’t mind logging a few extra hours now and then, tend to learn faster, come up to speed sooner, and become "key players" earlier. Excessive time spent driving can be an obstacle, so consider whether your commute is sustainable (particularly during the snowy months).

After you apply, watch your Indeed Chat messages. Our CEO or Vice President will reach out directly to ask a few questions, and a thoughtful response goes a long way. If you’re organized, computer-savvy, dependable, and ready to start a real career in our office, we’d love to hear from you.
