Job Summary
We are seeking a dynamic and highly organized Executive Assistant / Office Manager to join our team. This vital role combines executive administrative support with comprehensive office management, ensuring smooth daily operations and seamless coordination across departments. The ideal candidate will be proactive, detail-oriented, and possess a passion for creating efficient workflows. You will serve as the primary point of contact for internal and external stakeholders, manage complex calendars, coordinate projects, and oversee administrative functions that keep our office running at peak performance. Responsibilities

  • Provide comprehensive executive support by managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and internal software platforms.
  • Ability to present to small groups on a daily basis in office and out of office.
  • Oversee daily office operations including performing real estate closings, organizing events, social media monitoring, and maintaining a professional environment.
  • Coordinate special projects and events from planning stages through execution, ensuring all details are handled efficiently.
  • Ability to explain basic financial details as it relates to each transaction.
  • Handle correspondence via email, phone calls, and written communication with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Assist with data entry, and maintaining accurate records through meticulous organizational skills.
  • Support executive personnel, errands, or confidential tasks as needed.
  • Utilize office management software such as Microsoft Office Suite to prepare reports, presentations, and other documentation.
  • Maintain organized filing systems—both digital and physical—and ensure compliance with company policies.
  • Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
  • Proven experience in an administrative or executive assistant role with a minimum of three years of office management or clerical experience preferred.
  • Demonstrated ability to handle multiple priorities simultaneously in a fast-paced environment while maintaining attention to detail.
  • Strong proficiency in Microsoft Office (Word, Excel PowerPoint, powerpoint) .
  • Experience supporting executives or high-level professionals.
  • Excellent organizational skills with the ability to streamline processes and improve office efficiency.

Pay: $45,000.00 – $52,000.00 per year
