Executive Assistant / Legal Administrator

We are seeking an Executive Assistant/Legal Administrator to support our General Counsel and C-level executives at our Walnut Creek headquarters. This role involves comprehensive administrative, legal, and operational support to ensure smooth business operations.

Key Responsibilities

Provide administrative and logistical support to the General Counsel, including scheduling, correspondence, and project management.

Serve as a point of contact for building management.

Support the Executive Administrative Manager and assist in preparing for Board of Directors meetings.

Manage calendars, coordinate subsidiary governance, draft resolutions, and maintain legal records.

Assist with SEC filings, legal documentation, and representation letters.

Prepare materials for board meetings, including travel arrangements, expense reports, and document postings.

Coordinate contract signatures and assist in preparing PowerPoint presentations.

Handle incoming communications, process legal bills, and maintain records.

Order supplies and provide backup support to the EAM and C-suite as needed.

Qualifications

Minimum 3 years of experience as an Executive Assistant; 5+ years preferred.

Experience supporting legal professionals or at a legal firm is a strong plus.

Strong organizational, communication, and interpersonal skills.

Proficiency in Outlook, Excel, PowerPoint, Teams, Web Ex, and internal systems.

Detail-oriented, independent, adaptable, and able to work under pressure.

Working Conditions

Office-based role, at least 4 days per week.

Position Details

Salary range: $70,000 – $90,000 annually, depending on experience.
