We are seeking a high-energy, detail-obsessed, and tech-savvy Full Charge Bookkeeper / Executive Assistant to serve as the organizational backbone of our growing company. Key Responsibilities
Financial Management & Bookkeeping (Approx. 50%)
- Full-Cycle Bookkeeping: Manage accounts payable (AP), accounts receivable (AR), and general ledger entries using accounting software (e.g., QuickBooks Online).
- Reconciliations: Perform monthly bank, credit card, and merchant account reconciliations with flawless accuracy.
- Financial Reporting: Prepare timely monthly, quarterly, and annual financial statements (P&L, Balance Sheet, Cash Flow).
- HR Support: Assist with onboarding documentation and expense report management.
- Tax Prep: Organize and prepare financial records for the external CPA for quarterly filings and year-end tax prep.
Executive Administrative Support (Approx. 50%)
- Calendar & Inbox Gatekeeper: Manage complex executive calendars, schedule meetings across time zones, and proactively triage incoming emails.
- Operations & Logistics: Coordinate domestic travel arrangements, itineraries, and logistics for conferences, client meetings, and company events.
- Communication Liaison: Draft professional correspondence, slide decks, memos, and reports on behalf of leadership.
- Project Tracking: Act as a project manager for internal initiatives, ensuring deadlines are met and follow-ups are executed.
- Office Management: Maintain digital filing systems (Google Drive/Dropbox), manage vendor relationships, and ensure day-to-day operations run flawlessly.
Qualifications & Skills
- Experience: 1–3+ years of hands-on bookkeeping and/or administrative experience in a fast-paced environment.
- Tech-Forward: Advanced proficiency with cloud-based accounting software (QuickBooks) and modern workplace tools (Google Workspace, Microsoft 365, and project management tools like Asana or Monday.com).
- Financial Literacy: Strong foundational knowledge of GAAP (Generally Accepted Accounting Principles) and a knack for spotting data discrepancies.
- Organization Wizardry: Exceptional time-management skills; ability to pivot seamlessly between a spreadsheet and a scheduling conflict without losing momentum.
- Discretion & Trust: Absolute integrity and discretion when handling highly confidential financial and proprietary business data.
- Communication: Sharp, professional verbal and written communication skills.

Pay: $72,000.00 – $78,000.00 per year
