We are seeking a highly organized, detail-oriented Executive Assistant to support a small, two-person commercial real estate office. The office is located at the executive’s private residence (references available upon request).
The ideal candidate will report directly to the owner/operator of commercial shopping centers and other investment holdings, providing both business and occasional personal administrative support. This is a hands-on, on-site position that serves as the backbone of the daily office operations, requiring exceptional organization, professionalism, discretion, and the ability to manage multiple priorities independently.
The successful candidate is a self-starter with strong communication skills, excellent attention to detail, and a commitment to maintaining confidentiality while supporting a fast-paced real estate investment business.
Key Responsibilities
Office Administration
- Manage daily administrative operations and provide executive support.
- Draft, edit, and prepare confidential correspondence and business documents.
- Maintain organized paper and electronic filing systems for financial, tax, legal, and real estate records.
- Handle general office organization and administrative projects as assigned.
- Insurance Management.
Bookkeeping & Financial Administration
- Enter and process payments and payroll using QuickBooks.
- Reconcile monthly bank statements and identify discrepancies.
- Maintain accurate financial records and expense documentation.
- Assist with financial reporting and administrative accounting tasks.
Tax & CPA Coordination
- Collect, scan, organize, and categorize tax-related documents, including W-9s, 1099s, property tax notices, closing statements, and supporting financial records.
- Serve as the primary liaison with the company’s CPA during tax preparation and throughout the year.
Travel Coordination
- Research, coordinate, and book domestic travel arrangements, including flights, hotels, rental cars, and itineraries.
- Manage schedule changes and travel adjustments as needed.
Qualifications & Skills
- Minimum of 5 years of experience in an administrative or office support role.
- Experience with basic bookkeeping, financial records, tax documentation, or tax season preparation.
- Proficiency in Microsoft Word, Microsoft Outlook, and QuickBooks (required).
- Strong verbal and written communication skills, including the ability to read cursive handwriting.
- Excellent organizational and time-management skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Strong attention to detail with the ability to identify data entry errors and maintain highly accurate records.
- Solid basic math skills and experience working with financial logs, expense reports, or accounting software.
- Experience coordinating travel arrangements and adapting to changing schedules on short notice.
- Ability to maintain strict confidentiality and exercise discretion when handling sensitive financial and personal information.
- Self-motivated, dependable, and able to work independently with minimal supervision.
- Must be a Notary Public or willing to obtain a Notary Public commission after hire.

Pay: From $70,000.00 per year
