Overview
We are seeking a dynamic and highly organized, motivated Executive Assistant to join our team and support our leadership with efficiency and professionalism. This vital role involves schedules, training incoming volunteers, coordinating communications, and providing exceptional administrative support to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, to facilitate seamless interactions. Updating Policies and Procedures and have QuickBooks and Accounting knowledge as well as tech support knowledge or quick learner. This role also requires that you be a committed Christian and be passionate about the ministry of the Pro Life Pregnancy Center work and requires confidentiality and compassion.

Duties

  • Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace tools as well as some graphic assistance using Canva.
  • Maintain accurate filing systems, data entry records, and manage confidential information with discretion.
  • Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and financial record keeping.
  • Proven office management experience with a strong background in administrative support roles.
  • Demonstrated clerical experience including data entry, filing, proofreading, and document organization.
  • Excellent organizational skills with the ability to multitask efficiently.
  • Strong computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic bookkeeping software like QuickBooks.
  • Assist in leading, planning Fundraising events. Enter and categorize event expenses in Excel, process CC payments into Stripe, Square and PayPal, enter donations and ensure donor information is complete, processing receipts and oversee promotional materials. Manage Fundeasy event tracking and organization for registrations and donations.
  • Support Staff with common issues (printers, emails WiFi, Quickbooks, Ekyros (our database) Google Workspace, and Security.
  • Maintain up-to-date procedures in accordance with our policies for client care, safety, confidentiality and operations.
  • Experience working as a medical or personal assistant is a plus but not required; relevant office experience is essential. Join us to be an integral part of a team where your organizational prowess and proactive attitude will make a meaningful impact every day!

Pay: $51,000.00 – $55,000.00 per year
