We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Business Operations Coordinator to support executive leadership and administrative operations across multiple portfolio companies.

This is not a traditional calendar-management Executive Assistant role. While the position supports executive leadership, the primary focus is coordinating critical administrative processes, financial workflows, compliance tasks, and organizational follow-through across multiple businesses.

Position Overview

This role serves as a central administrative and operational resource responsible for ensuring important business processes are completed accurately, on time, and with strong follow-through.

The ideal candidate thrives in a fast-paced entrepreneurial environment, enjoys bringing structure to ambiguity, and takes ownership of tasks that require organization, persistence, and accountability.

This role requires comfort operating in an environment where systems and processes are still evolving. The ideal candidate enjoys building structure, creating process, and solving problems rather than simply following existing playbooks.

Success in this role means payroll is processed accurately and on time, billing does not fall behind, critical administrative deadlines are never missed, and leadership can trust that important operational details are consistently tracked, followed up on, and completed.

This person becomes a trusted organizational “glue” across the company—someone who ensures important details do not fall through the cracks.

Key Responsibilities

Business & Administrative Operations

  • Coordinate business renewals, registrations, licenses, permits, and compliance filings across multiple entities
  • Maintain organized administrative records, contracts, insurance documents, and corporate files
  • Support vendor onboarding, document collection, and administrative requests
  • Help establish and improve administrative processes and standard operating procedures
  • Track important deadlines and ensure required actions are completed on time

Payroll Coordination

  • Own payroll coordination processes, ensuring required payroll inputs, approvals, and supporting documentation are collected accurately and on schedule
  • Follow up with managers and supervisors regarding missing or incomplete payroll information
  • Coordinate payroll processing with internal finance resources or external providers
  • Assist with payroll-related employee questions and issue resolution

Billing & Financial Coordination

  • Support billing and invoicing workflows to ensure completed work is invoiced accurately and on time
  • Collect billing support documentation from field and office teams
  • Track invoice status and assist with accounts receivable follow-up
  • Follow up persistently with field and office teams to obtain missing information, approvals, and documentation
  • Help maintain administrative accuracy in finance-related workflows

Executive & Cross-Functional Support

  • Provide administrative support to executive leadership as needed
  • Track action items, deadlines, and cross-functional follow-up
  • Coordinate special projects and organizational initiatives
  • Ensure important tasks do not fall through the cracks across teams and businesses

Qualifications Required

  • 3–7+ years of experience in administrative operations, office management, executive support, payroll coordination, billing coordination, or similar roles
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities with minimal oversight
  • High degree of professionalism, discretion, and accountability
  • Strong computer proficiency including Microsoft Office / Google Workspace and spreadsheets
  • Self-starter with strong follow-through and ownership mentality

Preferred

  • Experience in construction, field services, industrial services, or multi-location businesses
  • Experience supporting payroll, billing, invoicing, bookkeeping, or finance workflows
  • Familiarity with QuickBooks, ERP, CRM, or accounting systems
  • Experience supporting entrepreneurial, founder-led, or fast-growing businesses
