and shared success. The Executive Assistant will be the go-to support for four members of the
executive leadership team
, ensuring both business and personal tasks are managed with discretion,

Key Responsibilities:
Manage calendars, schedule meetings, and coordinate logistics for events and appointments. Prepare meeting agendas, minutes, and follow up on action items and deliverables. Draft, edit, and proofread correspondence, reports, and presentations. Screen and respond to phone calls, emails, and visitors on behalf of the executive team. Oversee and manage planning and executing company events (e.G., Christmas party, AGM, golf tournament, trades party).
Maintain organized legal and office filing systems (both digital and hard copy). Support with banking documentation and opening of new accounts. Reconcile executive expenses and manage expense reporting via SAP Concur. Handle a mix of business and personal administrative tasks with utmost confidentiality. Jump in to support other business areas and special projects as needed.
Qualifications:
Minimum 5 years of experience as an Executive Assistant supporting
senior leadership
. Previous experience in real estate, construction, or property management is preferred but not a necessity. Strong written and verbal
communication skills
—must be articulate and well-spoken. Public speaking experience an asset! Advanced Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Experience with
SAP Concur for expense claim management an asset. Previous special event coordination/management experience is a must. Detail-oriented, organized, and able to manage multiple priorities with
professionalism
High degree of discretion, judgment, and initiative.
