Duties

  • Manage and coordinate executive calendars, appointments, and meetings with precision and efficiency
  • Handle incoming calls using multi-line phone systems, directing inquiries professionally and promptly
  • Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy
  • Organize files, maintain records, and oversee data entry tasks using office management software such as Microsoft Office and Google Workspace
  • Provide exceptional customer support at the front desk, greeting visitors and managing office inquiries with friendly professionalism
  • Assist with bookkeeping tasks utilizing QuickBooks for invoicing, expense tracking, and financial record-keeping
  • Support personal assistant responsibilities including travel arrangements, calendar management, and task prioritization

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role within an office environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to manage multiple priorities effectively
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with office management tasks such as filing, proofreading, and clerical support
  • Knowledge of multi-line phone systems, phone etiquette, and customer service best practices
  • Prior experience in medical or dental receptionist roles is a plus but not required
  • Personal assistant experience including calendar management and scheduling is preferred
  • Demonstrated time management skills with the ability to meet deadlines efficiently

Pay: $51,815.96 – $62,402.02 per year
