PRIMARY RESPONSIBILITY:
The Executive Assistant provides administration support for the leadership team. This full-time position reports to theVice President of Operations but will also receive direction from the VP of Development and CEO to provide administrative support. This detail-oriented individual handles confidential information with discretion, communicates clearly and effectively and maintains trusting relationships with all staff members.
ESSENTIAL FUNCTIONS:
Development
- Inputs Development data into Donor Perfect or a future CRM
- Prepare and distribute accurate donor acknowledgement letters.
- Deposit fund raising checks
- Other administrative duties as assigned
CEO Admin Support
- Maintains the CEO’s Chesapeake Conservancy calendar and coordinates some incoming and outgoing scheduling and email requests.
- Assisting CEO in other administrative tasks upon request
Office Management
- Manages office supplies, keeping inventory of current supply levels and placing orders when needed to replenish materials.
- Manages Skedda calendar for the office.
- Input invoices into Bill.com
Other Duties as Assigned
REQUIRED SKILLS/ABILITIES:
- 3-5 years of administrative experience
- Excellent attention to detail
- Excellent communication skills both within and outside the organization
- Ability to maintain confidentiality
PREFERRED SKILLS/ABILITIES:
- Proficiency in Microsoft Office Suite and/or Google Suite
Experience with Unanet or another enterprise resource planning tool
