POSITION SUMMARY

The Executive Assistant to the Chief Executive Officer provides high-level administrative, governance, and strategic coordination support to the CEO and Executive Team.

This role plays a key part in supporting the effectiveness of the CEO by coordinating executive operations, Board governance processes, leadership activities, and strategic initiatives. The Executive Assistant ensures that executive priorities are organized, documented, and supported through strong communication, coordination, and follow-up. This position supports the Board of Directors, CEO and Executive Team in advancing the organization’s strategic priorities through respectful relationship management, cultural humility, and strong organizational coordination.

The position requires professionalism, sound judgment, confidentiality, and the ability to manage multiple priorities in a fast-paced and evolving environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

CEO Support

  • Provide high-level administrative and coordination support to the CEO.
  • Manage the CEO’s calendar, correspondence, and scheduling of meetings.
  • Prepare briefing materials, reports, presentations, and correspondence.
  • Track executive priorities and support follow-up on key decisions and action items.
  • Ensures corporate, legal and licensing paperwork is completed, reported and registered in compliance with Agency requirements
  • Executive Management Support

  • Coordinate Leadership Team meetings and maintain meeting records.
  • Support communication and information flow between executive leadership and operational teams.
  • Assist in coordinating organizational initiatives and leadership priorities.
  • Board of Directors Support

  • Coordinates Board and specified Board committee meetings, attends and transcribes minutes, organizes meeting materials, arranges for catering when necessary and ensures agenda/meeting packages are distributed to attendees prior to and/or at the meeting
  • Provides direct support to the Board of Directors, as required
  • Ensure governance documentation and corporate records are maintained in compliance with regulatory and organizational requirements.
  • Office Administration Support

  • Maintain organized corporate files, records, and documentation.
  • Ensure secure handling, archiving, and retention of confidential records.
  • Maintain accurate documentation in accordance with organizational standards and regulatory requirements.
  • Coordinates internal organization information distribution as required.
  • QUALIFICATIONS

  • Completion of a recognized office administration, business administration, or governance administration program.
  • Equivalent combinations of education and experience may be considered.
  • Minimum five years of administrative experience supporting senior leadership.
  • Experience working with First Nations communities or organizations is preferred.
