We’re looking for an experienced Executive Assistant who can also take ownership of office operations and help keep our leadership team organized and moving forward.
This role supports our executive team. You’ll directly manage two executive calendars while supporting the broader team through coordination, communication, and follow-through.
This is a high-trust role for someone who is organized, proactive, and understands the importance of confidentiality.
Overview
You’ll help create structure and momentum across the leadership team and office.
That means managing priorities, coordinating meetings, handling logistics, and making sure commitments actually get executed. You’ll also play a key role in driving follow-through, making sure meetings and commitments turn into completed actions.
You’ll also serve as the connection point between leadership and our marketing partner, helping keep communication and projects moving.
A big part of this role is creating order, consistency, and clarity in how work flows across the team.
Responsibilities
- Manage and prioritize two executive calendars
- Protect executive time by prioritizing schedules and filtering requests
- Coordinate meetings, capture notes, and track follow-ups
- Ensure action items are completed on time
- Serve as liaison with our marketing team (photos, content, posts, coordination)
- Oversee office operations, supplies, and general organization
- Plan and execute travel, events, and logistics
- Manage executive communication and act as a gatekeeper
- Keep communication organized across departments

- Commitments and action items are tracked and completed without needing follow-up

Ideal Candidate
- 3+ years of experience supporting executives or leadership teams
- Strong organizational and prioritization skills
- Excellent follow-through and attention to detail
- Proactive mindset, you stay one step ahead
- High level of discretion and professionalism
- Strong communication skills
- Comfortable managing multiple priorities at once
- Experience with office management or similar responsibilities is a plus
- Tech-savvy and comfortable with systems and tools

Compensation & Benefits
- $65,000 – $80,000 per year, depending on experience
