Clinical Counseling & Consulting Services, PLLC is seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide executive-level administrative support to the Executive Clinical Director. This position is responsible for coordinating executive operations, managing administrative projects, supporting agency leadership, and ensuring the day-to-day administrative functions of the organization operate efficiently.
The Executive Assistant plays a vital role in supporting multiple departments, maintaining organizational systems, coordinating projects, and assisting with agency operations. This position requires exceptional organizational skills, professionalism, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced behavioral health environment.
Job Responsibilities
- Manage the Executive Clinical Director’s calendar, meetings, and daily administrative schedule.
- Monitor, prioritize, and respond to emails and other communications as directed.
- Prepare business correspondence, reports, presentations, meeting agendas, and executive documents.
- Coordinate meetings, trainings, and agency-wide projects.
- Monitor assigned projects and follow up with staff regarding deadlines and outstanding tasks.
- Assist with employee onboarding, orientation, and administrative training activities.
- Maintain agency forms, manuals, templates, policies, and administrative records.
- Coordinate internal office communications and organizational announcements.
- Maintain confidential executive and agency files.
- Assist with administrative reporting, data entry, quality assurance activities, and workflow tracking.
- Monitor office supply inventory and coordinate purchasing requests.
- Coordinate vendor communications and administrative service requests.
- Assist with scheduling and coordinating agency meetings and events.
- Provide administrative support to clinical and administrative departments as needed.
- Assist with front office operations during periods of high volume or staff coverage.
- Maintain proficiency in office software platforms.
- Perform additional duties as assigned by the Executive Clinical Director.
Minimum Qualifications
- Bachelor’s degree from an accredited college or university required.
- Preferred fields of study include Business Administration, Healthcare Administration, Public Administration, Psychology, Communications, Social Work, Clinical Mental Health Counseling, or a related discipline.
- Minimum of two (2) years of executive assistant, administrative, office management, healthcare administration, or comparable experience.
- Excellent written and verbal communication skills.
- Advanced proficiency with Microsoft Office, Google Workspace, and cloud-based applications.
- Strong organizational, time-management, and multitasking skills.
- Ability to maintain confidentiality and exercise sound professional judgment.
- Ability to prioritize competing responsibilities while consistently meeting deadlines.
Preferred Qualifications
- Previous experience working in a behavioral health or healthcare setting.
- Experience supporting executive leadership or senior management.
- Experience with electronic health record systems
- Experience coordinating projects and administrative operations.
