Job Summary

The Executive Assistant provides high-level administrative and project management support to the Executive Director. The Executive Assistant is also responsible for the overall management of the organization’s primary office. This role requires excellent organizational, project management, communication, and problem-solving skills, as well as the ability to manage confidential information and multiple priorities in a fast-paced nonprofit environment.

Duties and Responsibilities

· Assist with Board of Directors, Senior Director and All-Staff meetings and events: prepare agendas, compile materials, take minutes, document workplans and follow-up steps, and coordinate logistics.

· Provide project management support for initiatives led by the Executive Director: create workplans, track deadlines, provide reminders, and follow-up on action items.

· Review MOU’s, leases, check requests and contracts. Follow-up with appropriate staff and/or directly make corrections prior to seeking the Executive Director’s signature.

· Research, write, obtain feedback, and edit new administrative, employee and program policies and procedures.

· Assist with outreach to REALTORS, property owners and municipalities to identify potential properties to acquire.

· Oversee the management of SSPADS primary office, including vendor relationships, maintenance schedules, key inventory, and other tasks.

· Oversee laptop and office equipment procurement, inventory and maintenance.

· Oversee the phone system and cell phone procurement.

· Oversee the annual renewal process for general liability and property insurance.

· Establish safety, emergency and other risk management procedures.

· Other duties as assigned.

Education

· Associate or Bachelor’s Degree in Business Administration, Nonprofit Management, or related field preferred.

Experience

· Minimum of 3–5 years of experience in an administrative, project management, office management or executive assistant role.

Skills

· Excellent written and verbal communication skills.

· Strong organizational and time-management abilities with attention to detail.

· High proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams); and Zoom.

Personal Attributes

· Ability to handle confidential information with discretion and professionalism.

· Self-starter with a proactive mindset and ability to work independently and collaboratively.

Physical Demands

· Ability to lift and move 50 lbs.

· While performing the duties of this job, the employee is regularly required to talk or hear, sit, use hands, reach with hands and arms, stand, walk, and use stairs.

Work Environment

· Primarily office-based with potential for hybrid flexibility.

· May require occasional local travel and evening/weekend work for board meetings or events.

Compensation & Benefits

· Salary range $65,000 – $75,000
