Job Summary and Qualifications

The Executive Assistant is responsible for coordinating the day-to-day clerical functions of the administrative office.

What you will do in this role:

  • Maintain administrative files and correspondence.
  • Maintain calendar for CEO, CFO, COO, and members of Executive Management Team as requested.
  • Responsible for pick-up and distribution of daily mail to members of the Executive Management Team.
  • Make travel arrangements for Executive Management Team as requested.
  • Answer incoming calls and direct them to the appropriate area.
  • Act as liaison between department staff and Executive Management Team.
  • Assist Executive Management Team with special projects.
  • Prepare and distribute daily stat report.
  • Print Monthly Vista report.
  • Compile daily accounts receivable checks for cashier to deposit.
  • Compile daily insurance payment checks to be sent to the lockbox.
  • Prepare expense report for CEO, CFO and COO in Concur.
  • Gatekeeper for all check requests, staffing requests, expense reports, AMEX monthly statements.
  • Maintain Kronos for Directors and Administrative Assistant.
  • Prepare physician time sheets in accordance with contract terms.
  • Attend various meetings as requested, take and transcribe minutes from meetings, document in an electronic format and distributes.
  • Assist guests, patients, families, staff, etc. with any questions and direct them to appropriate personnel for assistance.
  • Prepare contracts in HCA’s TCM and PAWS.
  • Maintain all vendor contracts, physician contracts, BAA’s, School Affiliation Agreements and Transfer Agreements for HCA Compliance.
  • Prepare annual appointment letters for Medical Executive Committee, Medical Directors and Board of Trustees in TCM.
  • Arrange for Christmas gifts for Board of Directors and hospital staff.
  • Assist with coordination of AV equipment needs as requested.
  • Maintain Business Courtesies Log.
  • Maintain Token Log for physician Board members.
  • Assist with completion of required regulatory surveys.
  • Serve as backup to Medical Staff Director as needed.
  • Serve as backup to CNO Administrative Assistant.
  • Maintain vendor contract log and referral source log.
  • Schedule classrooms as requested.
  • Provides notary services as requested.
  • Ensure license renewals for hospital, DEA, CLIA, Food Services, and Radioactive Materials are kept current.
  • Responsible for purchase of gift cards and special recognition awards for Executive Management Team and department directors.
  • Arrange retreats and off-site meetings for Directors and Executive Management Team.
  • Maintain Administrative Call Rotation Schedule.
  • Schedule and maintain Senior Leader rounding log for Administrative Team.
  • Order office supplies for the Executive Office when needed.
  • Board of Trustees meeting preparation and minutes.


What qualifications you will need:

  • 2-3 years of progressively responsible clerical experience required.
  • Computer skills and excellent written and oral communication skills required.
  • Notary required.
