Summary:
The main function of this role is to provide high-level administrative support to a Corporate VP by conducting research, handling information requests, and performing a wide array of clerical functions. The individual will act as an information and communication manager for an executive and their teams.
Responsibilities:
- Perform general office duties such as mailing, making copies/prints, coordinating schedules, setting up the office, maintaining office equipment, ordering office supplies, and maintaining records management systems.
- Prepare invoices, reports, memos, letters, financial statements, and other documents.
- File and retrieve corporate documents, records, and reports.
- Open, sort, and distribute incoming correspondence, including faxes and emails.
- Prepare responses to correspondence containing routine inquiries.
- Assist in event planning, including scheduling, catering, setup, and breakdown.
- Arrange international and domestic travel itineraries.
- Supervise general office duties such as ordering supplies and performing basic bookkeeping work.
- Review and approve invoices, reports, memos, and other documents.
- Prepare agendas and make arrangements for meetings.
- Manage an extremely active calendar of appointments; ensure executives stay on track during their day; prioritize meeting requests, and handle conflicts or scheduling changes proactively.
- Assist with staff onboarding and offboarding, including requesting equipment setup and system access if needed.
- Triage and perform basic troubleshooting for hardware, software, and phone issues, office supply management, and other office management functions.
- Liaison with customer and internal executive levels.
- Develop and maintain cross-divisional relationships with other administrative assistants.
- Handle ad hoc administrative duties as they arise.
Qualifications:
- Bachelor’s degree.
- 3 years of corporate experience required; work experience as an executive assistant is a plus.
- Experience working with executives is mandatory.
Desired Skills:
- Bi-lingual in Korean and English is preferred.
- Strong verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.
- Ability to work independently and manage time effectively.
- Ability to keep information organized and confidential.
- Professional demeanor at all times with strong attention to detail.
- Previous experience with computer applications, such as Microsoft Word, Excel, and PowerPoint.
- Expert ability in event planning and budgeting.
- Build relationships across teams, offering help and welcoming ideas to drive work forward inclusively.
Pay Transparency: The typical base pay for this role across the U.S. is: $40.00 – $43.00 /hour. Non-exempt positions are eligible for overtime at a rate of 1.5 times the base hourly rate for all hours worked in excess of 40 in a work week, or as required by state or local law. Final offer amounts, within the base pay set forth above, are determined by factors including your relevant skills, education and experience. Full-time employees are eligible to select from different benefits packages.
