#PositiveResetManalapan, a dynamic, fast-growing outpatient Mental Health Clinic in Manalapan, NJ, is seeking a reliable, organized, and compassionate Evening Front Desk Receptionist & Backup Staff to join our team.

We are looking for a highly professional individual to manage our evening operations, ensuring that the same high level of warmth and organizational excellence experienced during the day continues throughout our evening sessions. You will be the primary point of contact for clients and clinicians during these key hours, supporting the seamless continuation of care.

Schedule & Availability:

This is a Part-Time Evening and Weekend Role. Your standard, full-time weekly schedule (Totaling 20 Hours) will consist of:

  • Monday – Thursday: 5:00 PM – 8:00 PM (12 Hours)
  • Saturday: 9:00 AM – 5:00 PM (8 Hours)
  • Total Scheduled Weekly Hours: 20 Hours

Important Note for Phased Growth: Initially, your standard schedule will consist only of the Monday – Thursday evening coverage (12 hours/week). We plan to activate the full, consistent Saturday 9-5 shift (increasing your weekly hours to 20) in next few months to support our continued clinic expansion.

The Backup Requirement:

The core of this role is reliability. In addition to your regular schedule, you must be available to act as a reliable backup to our day-time front desk staff. This means being willing and able to cover full or partial day-time shifts (e.g., 9-5) with reasonable notice for vacations, illnesses, or unexpected staff needs. Flexibility is a requirement for this position.

Key Responsibilities:

Evening Operations & Patient Coordination:

  • Extend a Warm Welcome: Meet evening clients, families, and visitors with professionalism and compassion, maintaining a welcoming and organized waiting area.
  • Manage Communication: Handle all evening phone calls, respond to emails, and manage general communications for the clinic with precision and care.
  • Master Scheduling: Schedule, reschedule, and confirm evening appointments using our Electronic Medical Record (EMR) system, ensuring maximal clinician utilization.
  • Ensure Documentation Excellence: Register new evening patients, manage intake paperwork, and maintain impeccable document accuracy in our EMR.
  • Handle Billing Inquiries: Confidently process payments, manage invoices, and address insurance-related front-desk inquiries from evening clients.
  • Coordinate Evening Workflow: Manage the day-to-day office flow during evening hours, providing administrative support to clinicians and ensuring a smooth continuation of care.

Operational Backup & Support:

  • Maintain Operational Readiness: Act as a reliable backup to all front desk staff, covering day-time shifts with professionalism and a seamless transition of duties.
  • Support Special Projects: Assist leadership and the clinical team with additional administrative tasks and special projects as assigned.

Qualifications:

  • Proven Reliability: We are looking for an individual with an unwavering commitment to punctual attendance and shift coverage.
  • Organizational Prowess: Minimum of 2 years of experience in a medical front desk or office management role is required (mental health setting a huge plus).
  • Tech Savviness: Must be proficient in EMR scheduling software (experience with specific platforms is a plus) and Microsoft Office/Google Workspace.
  • Multitasking Expert: Ability to confidently manage multiple administrative tasks in a dynamic clinic environment while maintaining a professional, calm demeanor.
  • Confidentiality First: Unwavering commitment to client confidentiality and discreet handling of sensitive information.
  • Excellent Communicator: Strong interpersonal abilities and clear communication skills are essential for both patient interaction and team collaboration.
  • Linguistic Assets: Bilingual abilities are a plus.

Job Type: Part-time (Phased schedule to 20 Hours/Week) Pay: Competitive Hourly Rate Benefits-Eligibility: Eligible for our comprehensive part-time benefits package (including health allowance, dental and vision) upon activation of the 20-hour Saturday shift. Location: Manalapan, NJ (In-Person)

Required Experience:

  • Medical Receptionist: 2 years (Preferred)
  • Mental Health Clinic experience (Huge Plus)
