Divisional Administrator – 22 hour post

An administrative role supporting the Dolphin out-patient department with clinic bookings and preparation and providing administrative support to the Division, including the Governance team. The role routinely involves working autonomously and using own judgement/ knowledge to support the smooth running of the service. To play a key role in dealing with enquiries from patients and staff members from both internal and

external organisations.

The postholder will be responsible for the following tasks: –

  • To support with the management of the out-patient waiting list for new and follow-up appointments,

escalating any potential issues

  • To arrange appointments as appropriate following clinical triage
  • To monitor and action the Dolphin out-patient mailbox as appropriate
  • Regular communication with patients with regards to their appointments, ensuring appointment letters

are sent within a timely manner

  • Actively manage patients who do not attend their appointment and seek further advice with regards to

rearranging appointments

  • To ensure that clinics are appropriately prepared in advance and available for the clinician
  • Communicate both verbally and in writing with external organisations
  • Provide direct support/

administrative service for the team, which can involve handling sensitive patient information, always

maintaining confidentiality

  • Triage calls from parents and other professionals – recording and escalating these calls as appropriate
  • Scanning of results and clinical correspondence
  • To provide clerical support to the Governance & Quality Team
  • To support in updating the W&C microsite for both Obstetrics & Gynaecology and Paediatrics & Neonates ensuring all information is available and up to date including patient information leaflets
