Deputy Clerk Jobs in Ann Arbor, MI at Scio Township

Position Summary:

This position is required by statute (MCL 41.69), appointed by and serving at the pleasure of the Clerk. The Deputy may assist the Township Clerk in the performance of any of the Township Clerk’s duties required by statute, ordinance, or other action of Board of Trustees. In case of absence, sickness, death, or other disability of the Clerk, the Deputy shall possess the powers and perform the duties of the Clerk, except the Deputy shall not have a vote on the Township Board of Trustees.

Essential Job Functions:

The Deputy Clerk may assist the Clerk in performing any of the Clerk’s duties which include: the accounting of Township funds, protecting and managing the Township’s records, and administering elections. Assignments across these three areas to the Deputy Clerk will depend on the particular qualifications of the Deputy Clerk, and how they complement those of other available Township staff.

1) Open Data Reporting:

a) Create and maintain interactive, meaningful ‘open data’ reports of the journals and ledgers so that the Board of Trustees and the public may easily understand the Township’s assets, liabilities, fund equities, revenues, and expenditures for each fund of the township

b) Other related duties, as assigned.

2) Records Management (MCL 41 Townships and MCL 399 Historical Records):

a) Protect, manage, and make accessible Township records in accordance with records retention policies promulgated by the State and the Township, including the management of digital records.

b) Update and publish the Township’s Code or Ordinances, maintain Resolutions and Minutes of Board meetings, and support Township committees with compliance with OMA and related best practices.

c) Write and publish public notices, synopses, and other required postings on behalf of the Township.

d) Other related duties, as assigned.

3) Elections Administration (MCL41 Townships and MCL168 Elections):

a) Administer all special, primary, or general elections held within Scio Township, including staffing the Township Election Commission.

b) Maintain voter rolls, including daily administration through in-person contacts, mail, and electronic transactions.

c) Administer the review and receipt of candidate nominations, proposals, and other items that may be properly placed on a ballot.

d) Other related duties, as assigned.

Knowledge, Skills, Abilities and Minimum Qualifications:

The following qualifications will serve as a guideline for selection:

1. Must be a qualified elector of Michigan, preferably a resident of Scio Township.

2. Master’s degree preferred in public policy analysis, public administration, library/information science, or a related degree.

3. Experience working in the public or non-profit sectors, or otherwise demonstrated commitment to public service.

4. Ability to establish and maintain effective working relationships and use good judgment when dealing with the public, colleagues, elected officials, other governmental and regulatory agencies.

5. Ability to convey and understand information effectively and promptly through speaking, hearing, reading, and writing.

6. Ability to critically assess situations, solve problems, and work effectively within deadlines, and changing work priorities.

7. Dedication to ongoing professional development, and willingness to attain required certifications (election administration) and licenses (notary public).

Job Type: Full-time

Pay: $70,000.00 – $77,144.00 per year
