​Job Overview
​Magna Dental is looking for a professional, tech-savvy Front Desk Coordinator to be the primary point of contact for our patients. As a solo practice with a high volume of care, we prioritize an environment that is both efficient and welcoming. We are looking for someone who takes ownership of the patient experience—from the first phone call to the final checkout—while maintaining the organized administrative systems that keep our office running smoothly.
​Responsibilities
- ​Patient Experience: Greet patients by name, manage the check-in/check-out process, and ensure the reception area maintains a professional, calming atmosphere.
- ​Insurance & Billing: Perform detailed insurance eligibility checks and verify coverage prior to appointments. Handle billing, collections, and payment processing with high accuracy.
- ​Strategic Scheduling: Manage the clinical calendar using Dentrix, optimizing patient flow to support three full-time hygienists and the doctor.
- ​Communications: Manage a multi-line phone system with professional etiquette. Handle patient inquiries regarding treatment plans and follow-up care with clarity.
- ​Practice Integrity: Ensure all patient records and communications remain strictly HIPAA-compliant. Assist in maintaining organized digital filing and data entry.
- ​Team Collaboration: Work closely with the clinical team and our in-house bookkeeping to ensure seamless daily operations.
​Qualifications & Skills
- ​Experience: Minimum of 2 years in a dental or medical office setting is preferred. A strong understanding of dental terminology and procedure codes is a significant advantage.
- ​Software Proficiency: Experience with Dentrix or Eaglesoft is highly preferred. Must be comfortable navigating digital dental records and insurance portals.
- ​Administrative Excellence: Proven ability to manage complex scheduling and multi-task in a busy environment without losing attention to detail.
- ​Interpersonal Skills: Exceptional verbal and written communication skills. You should be comfortable discussing financial arrangements and treatment schedules with patients.
- ​Reliability: As a key member of a small, dedicated team, consistent attendance and a proactive "ownership" mindset are essential.
