Job Summary:

We are seeking an Administrative Assistant II to support sales contract administration and pricing operations for a leading healthcare technology organization. This role is responsible for reviewing and processing contracts, maintaining accurate records, supporting contract lifecycle activities, and collaborating with cross-functional teams to ensure timely and accurate contract execution. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment.

Key Responsibilities:

• Review and process sales contracts and contract amendments for accuracy and completeness.

• Verify contract documentation is legible, complete, and aligned with required approvals.

• Route contracts for signature according to established authorization levels.

• Review, summarize, and enter contract information into the organization's customer relationship management system.

• Maintain accurate electronic files, documentation, trackers, and contract records.

• Perform ongoing customer relationship management system maintenance to ensure accurate reporting.

• Generate reports, analyze contract data, and monitor contract status using customer relationship management tools.

• Support internal auditing, compliance, and contract monitoring activities.

• Investigate contract and pricing discrepancies and document resolutions.

• Research equipment shipments, pricing updates, and contract renewals as needed.

• Respond to inquiries regarding pricing eligibility and contract eligibility.

• Collaborate with contract administrators, pricing teams, sales representatives, fulfillment teams, and distribution partners to ensure accurate pricing and contract implementation.

• Participate in contract and pricing policy meetings and prepare supporting documentation.

• Develop and maintain standard operating procedures for departmental processes.

• Demonstrate understanding of business processes, policies, and organizational procedures.

• Perform month-end or closing activities as required.

• Meet established deadlines and provide timely status updates to internal stakeholders.

• Maintain professional communication and represent the organization with integrity in all interactions.

• Perform additional administrative and operational duties as assigned.

Required Qualifications:

• Bachelor's degree in Business Administration or a related business discipline.

• Minimum of 1 year of experience in commercial sales contracting, pricing, or contract administration.

• Intermediate proficiency with Microsoft Word and Microsoft Excel.

• Strong organizational, analytical, and problem-solving skills.

• Excellent written and verbal communication skills.

• Ability to manage multiple priorities in a fast-paced environment.

• Strong attention to detail and commitment to accuracy.

Preferred Qualifications:

• Two to four years of contract administration experience.

• Experience within the healthcare, biotechnology, medical device, or life sciences industry.

• Experience using Customer Relationship Management (CRM) systems or other business databases.

• Strong customer service orientation.

• Experience working in high-volume, cross-functional team environments.

• Self-motivated with the ability to work independently.

• Positive attitude with a focus on quality and operational excellence.
