We are seeking a detail-oriented and highly organized Customer Support and Compliance Coordinator to support post-sale operations and ensure a seamless customer experience. This role plays a critical part in managing administrative workflows tied to service, installation, warranties, rebates, and vendor billing accuracy. The ideal candidate is proactive, process-driven, and comfortable juggling multiple priorities while maintaining accuracy.Key Responsibilities
- Manage and process customer rebates, warranties, and equipment registrations in a timely and accurate manner
- Coordinate and track service and installation follow-ups to ensure completion and customer satisfaction
- Schedule inspections and maintain communication with customers, technicians, and relevant stakeholders
- Review vendor invoices for accuracy and verify alignment with agreed pricing and completed work
- Perform job costing checks to ensure financial accuracy and proper documentation
- Maintain organized records of all service, compliance, and customer-related documentation
- Act as a liaison between customers, internal teams, and vendors to resolve issues and ensure smooth operations
- Monitor and ensure compliance with company procedures, manufacturer requirements, and applicable regulations
- Identify process gaps and recommend improvements to increase efficiency and accuracy
Qualifications
- 2+ years of experience in administrative, operations, customer support, or coordination roles
- Strong attention to detail and ability to manage multiple workflows simultaneously
- Excellent communication and organizational skills
- Experience with billing review, job costing, or vendor coordination is a plus
- Proficiency in standard business software (e.g., Excel, CRM systems, scheduling tools)
- Ability to work independently and problem-solve in a fast-paced environment
