Duties

  • Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring each caller feels valued and understood
  • Manage front desk operations, greeting visitors and directing them appropriately while maintaining a welcoming atmosphere
  • Provide customer support by answering inquiries, resolving issues promptly, and offering product or service information
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other computer applications to update records accurately
  • Assist with office management duties such as filing, proofreading documents, calendar management, and organizing appointments
  • Support clerical functions including filing, photocopying, and maintaining organized records to streamline daily operations
  • Contribute to bookkeeping and basic office accounting tasks using QuickBooks or similar software to ensure accurate financial records

Requirements

  • Proven experience in office management, administrative support, or customer service roles with excellent organizational skills
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills
  • Experience with multi-line phone systems, front desk responsibilities, and phone etiquette essential for professional communication
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of QuickBooks, bookkeeping, or medical/dental receptionist experience is a plus but not mandatory
  • Demonstrated ability to manage time efficiently while handling multiple tasks in a fast-paced environment
  • Previous clerical experience including filing, proofreading, calendar management, and office support preferred
