Responsibilities

  • Greet visitors and clients warmly at the front desk, establishing a friendly and professional atmosphere
  • Manage multi-line phone systems to handle incoming calls promptly, directing inquiries to the appropriate departments
  • Provide outstanding customer service by addressing questions, resolving issues, and offering helpful information
  • Maintain accurate data entry records using productivity software such as Microsoft Office, Google Workspace, and QuickBooks
  • Support office management tasks including filing, proofreading documents, calendar management, and organizing appointments
  • Assist with clerical duties such as photocopying, faxing, filing, and managing office supplies
  • Handle administrative support tasks like bookkeeping, invoice processing, and basic record keeping with attention to detail

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with data entry, filing systems, and clerical procedures in an office environment
  • Excellent phone etiquette with the ability to manage multi-line phone systems efficiently
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Familiarity with QuickBooks for bookkeeping and basic financial transactions
  • Outstanding organizational skills with the ability to prioritize tasks and manage time effectively
  • Previous experience in front desk or medical/dental receptionist roles is a plus
  • Technical proficiency in office management software and productivity tools
  • Strong typing skills with attention to accuracy; proofreading capabilities are beneficial
  • Customer service experience demonstrating patience, professionalism, and problem-solving skills
  • Knowledge of office management procedures including calendar management and personal assistant tasks
