Job Summary
We are seeking an energetic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient workplace environment. Responsibilities
- Serve as the primary point of contact for the business managing incoming calls with professionalism and courtesy.
- Operate multi-line phone systems, handle inquiries, direct calls appropriately, book appointments while providing excellent customer service support.
- Manage calendar scheduling, appointments, and meeting arrangements for staff and executives using tools like Acculynx, Google Workspace and other CRMs
- Oversee office supplies inventory, coordinate procurement, and ensure the workspace remains organized and well-stocked.
- Perform data entry, filing, proofreading, and document management tasks to maintain accurate records and support administrative workflows.
- Handle needed bookkeeping responsibilities
- Support clerical duties such as typing correspondence, managing email communications, maintaining filing systems, and ensuring proper phone etiquette.
- Assist with special projects including personal assistant tasks or medical receptionist duties as needed to support team members.
- Must have reliable transportation to the office daily
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), or Other CRM’s and basic computer literacy.
- Excellent communication skills with professional phone etiquette; bilingual abilities are a plus for diverse environments.
- Experience with multi-line phone systems and customer service to handle inquiries efficiently.
- Strong data entry skills with attention to detail; ability to proofread documents accurately.
- Ability to prioritize tasks effectively using time management techniques; experience in clerical or medical receptionist roles is advantageous.
- Personal assistant experience or familiarity with calendar management enhances your ability to support team needs seamlessly.
