Position Summary

The Receptionist serves as the first point of contact for students, parents, staff, and community members, providing a welcoming and professional presence in the front office. This position is responsible for managing a variety of administrative and clerical tasks, including answering and directing phone calls, greeting and assisting visitors in accordance with school district policies, maintaining sign-in records, distributing mail, and supporting staff with day-to-day office needs. The receptionist plays an essential role in fostering a safe, organized, and supportive school environment while maintaining confidentiality and adhering to district procedures.

Minimum Requirements

High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency.
Must have satisfactory outcome of fingerprinting background check

Preferred Qualifications

Two (2) years of clerical experience.
Ability to communicate effectively in both English and Spanish.

Knowledge, Skills, and Abilities

General knowledge of routine office procedures, including customer service, telephone etiquette, efficient and effective filing, and recordkeeping systems.
Knowledge of Google Drive and Google programs (Docs, Sheets, Forms, and Slides)
Excellent organizational, communication, and interpersonal skills.

Essential Functions/Key Responsibilities

Assist staff as needed.
Answer telephone system and intercom phone.
Transfer calls to voicemail & locate staff as appropriate.
Assist parents, students or any other visitors who come to the front office with professionalism and courtesy.
Communication center for any major emergencies or disasters.
Communicate messages to security and custodial staff via radio.
Make announcements on the intercom as necessary.
Daily recording of all activities.
Manually operate the bells on days when the regular bell schedule is not being followed.
Monitor the alarm system panel for emergencies and follow various procedures to contact the proper administrators.
Work with the phone service system on any repairs or problems with the phones.
Record all greetings & instructions for the phone system and set up voicemail for all new faculty & staff.
Train faculty & staff on use of the telephone & intercom system.
Monitor vending machines.
Assist with all office mailings.
Assist with new student data entry as requested.
Demonstrates effective human relations and communication skills.
Adheres to good safety practices.
Attend meetings and work overtime as required.
Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.
Daily attendance at work and punctuality are essential functions of the job.
Keep informed of and comply with policies established by federal and state law, State Board of Education rule, and board policy.
Comply with all district routines and regulations.
Maintain confidentiality.
Perform other duties as assigned.

Working Conditions

Tools/Equipment Used: Standard office equipment including personal computer and peripherals.

Posture: Frequent walking, Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.

Motion: Repetitive hand motions including frequent keyboarding and use of mouse. Occasional reaching.

Lifting: Occasional light lifting and carrying (less than 15 pounds).

Environment: Work inside, may work outside; regular exposure to noise.

Mental Demands: Maintain emotional control under stress; work with frequent interruptions and prolonged or irregular hours.
