Job Summary
The Real Estate Operations & Executive Administrator is a trusted partner to senior leadership and a central coordinator across ownership, property management, and external stakeholders. This role blends Executive level support, CRE lender-financing coordination, property management collaboration, and marketing/brand support.
The ideal candidate understands how owner-managed real estate firms operate day-to-day—balancing executive priorities, property needs, lender requirements, and external presentation. This is a highly visible role with broad exposure across the real estate lifecycle.
Key Responsibilities
Executive & Ownership Support
· Provide high-level administrative and business support to senior principals
· Support executive calendars, and meeting coordination across ownership, property, and lender priorities
· Prepare agendas, briefing materials, and presentations for internal and external meetings as necessary
· Attend meetings as requested, document decisions, and coordinate follow-ups
· Draft and manage correspondence on behalf of ownership
· Maintain corporate and ownership records, contracts, and digital filing systems
· Coordinate with attorneys, lenders, brokers, consultants, and service providers
· Support special projects and initiatives tied to portfolio growth and operational efficiency
Commercial Real Estate Financing & Ownership Administration
· Act as primary administrative liaison to lenders and debt partners for owned properties
· Maintain loan files, financing correspondence, compliance calendars, and reporting requirements
· Coordinate and manage closing binders for acquisitions and refinancings
· Track due-diligence documentation for acquisitions and lender underwriting
· Review leases and abstract key terms relevant to financing, compliance, and asset oversight
· Coordinate estoppels, SNDAs, and lender deliverables directly with tenants and property teams
· Compile property-level data and narratives for refinancing and loan reviews
· Assist with quarterly and year-end lender reporting and covenant compliance
· Track escrow and reserve disbursement requests
Property Management Collaboration
· Work closely with internal property management teams to support ownership objectives
· Gather operational, leasing, and financial data for lender and ownership reporting
· Coordinate communication between ownership, asset management, and property managers
· Assist with tracking operating costs, service contracts, and capital items
· Support leasing initiatives through document coordination and historical property data
· Ensure property-level documentation aligns with ownership and lender requirements
Investor & Stakeholder Communication
· Support communications with equity partners and long-term stakeholders
· Compile and distribute annual investor reports and ownership updates
· Assist with partnership distributions in coordination with accounting
· Prepare periodic ownership correspondence and mailings
Marketing & Brand Enhancement
· Support marketing efforts that reinforce the firm’s identity as a stable, long-term owner-operator
· Prepare polished, branded presentations for lenders, tenants, partners, and brokers
· Maintain and update website content, including owned properties and portfolio updates
· Coordinate sponsorships, advertising placements, and branded materials
· Support owner-sponsored events and relationship-driven initiatives
· Ensure consistency in branding, tone, and presentation across all materials
Skills & Qualifications
· Bachelor’s degree required
· 3–5+ years of experience as a Operations Administrator or Executive Assistant, preferably within a direct owner/operator commercial real estate environment
· Strong working knowledge of CRE lender financing, loan documentation, and refinancing processes
· Experience collaborating with commercial property management and leasing teams
· High proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
· Strong document formatting, presentation, and branding skills
· Exceptional organization, discretion, and attention to detail
· Ability to prioritize across executive, property, and ownership demands
· Professional judgment, integrity, and comfort working with senior leadership
Pay: $50,000.00 – $60,000.00 per year
