Position Summary
The Clinic Office Specialist is a key member of the Physician Practice and provides clinical/administrative expertise to ensure all patients receive high quality, efficient care.
Position Education / Qualifications
- High School/GED, preferred
- Bilingual – English/Spanish, required
Job Knowledge / Experience
- Minimum of two (2) years receptionist experience required
- Previous experience in a busy medical office setting is preferred
- Medical terminology experience/education, preferred
- Billing and insurance verification knowledge preferred
- Excellent customer service and interpersonal skills
- Computer skills required with knowledge of Microsoft Office suite
- Good written and verbal communication skills required
- Previous experience in a teaching facility preferred
- Ability to use and learn EMR and practice management software
Responsibilities
- Working front desk, greet patients and visitors; be courteous, polite and helpful to the public, patients and clients at all times when representing the practice, providing excellent customer service
- Greet patients to the practice in a warm and friendly manner
- Respect and maintain privacy and dignity of patients; assure confidentiality at all times
- Working at the reception desk, checking patients both in and out of the practice as needed, and properly documenting registration
- Register patient with proper insurance information
- Answer and direct all phone calls appropriately received in a busy office practice maintaining the customer service skills as set forth by Renaissance Medical Foundation
- Take accurate and understandable messages and route them to the appropriate party as necessary
- Make appointments for new and established patients
- Note cancelled and rescheduled appointments through prescribed protocols set up by the office
- File faxed/scanned information in charts for review by provider, if needed
- Proficient use of Lobby software (process improvement tool) for patient throughput and patient satisfaction
- Communicate with patients, team members and providers
- Schedule, cancel, and reschedule patient appointments and report data
- Run reports as needed
- Remind patients of upcoming appointments and track missed appointments
- Forward telephone calls appropriately and follow up on return calls
- Verify insurance, obtain authorizations and enter patient demographics into the computer system
- Retrieve and file medical records and deliver to appropriate providers as needed
- Other copying, filing, scanning and faxing duties
- Collect co‑pays and cash from patients, obtain authorization on credit cards
- Enter charges, payments and daily balances, as needed
- Prepare and scan packets needed for the billing company as needed
- Submit orders for clearances
- End of month closing
- Other duties as assigned
Customer Service
