Essential Duties and Responsibilities
Client Service Support
- Serve as a professional point of contact for clients via telephone, email, and in-person interactions.
- Schedule and coordinate client meetings, review appointments, and follow-up communications.
- Prepare and organize client meeting materials, reports, and documentation.
- Respond to client inquiries and assist with service requests in a timely and professional manner.
- Maintain accurate and up-to-date client records within CRM and office systems.
- Follow up on outstanding client paperwork and pending requests.
Administrative Support
- Provide direct administrative support to Financial Advisors.
- Manage calendars, appointments, and office scheduling.
- Prepare correspondence, letters, forms, and client communications.
- Organize, scan, upload, and maintain electronic and physical client files.
- Process incoming and outgoing mail, fax communications, and office documentation.
- Coordinate office operations and maintain office supply inventory.
- Assist with special projects and additional administrative tasks as assigned.
Financial and Compliance Support
- Assist with the preparation and processing of account paperwork, including account openings, transfers, beneficiary updates, distributions, and other client service forms.
- Review documentation for completeness and accuracy prior to submission.
- Track pending items and ensure deadlines and compliance requirements are met.
- Maintain confidentiality of client financial and personal information.
- Support adherence to firm policies, procedures, and industry regulations.
- Communicate with custodians, financial institutions, and internal operations departments regarding account servicing matters.
Technology and Systems
- Utilize CRM software, financial platforms, and Microsoft Office applications on a daily basis.
- Maintain accurate data entry and electronic recordkeeping.
- Assist clients with online portal access and electronic signature processes.
- Generate reports and assist with document management processes.
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Previous administrative or customer service experience preferred.
- Financial services or wealth management industry experience preferred.
- Strong organizational skills and exceptional attention to detail.
- Excellent verbal and written communication abilities.
- Ability to prioritize tasks and manage multiple deadlines effectively.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Ability to maintain professionalism and confidentiality at all times.
Pay: $21.00 – $23.00 per hour
