Essential Duties and Responsibilities

Client Service Support

  • Serve as a professional point of contact for clients via telephone, email, and in-person interactions.
  • Schedule and coordinate client meetings, review appointments, and follow-up communications.
  • Prepare and organize client meeting materials, reports, and documentation.
  • Respond to client inquiries and assist with service requests in a timely and professional manner.
  • Maintain accurate and up-to-date client records within CRM and office systems.
  • Follow up on outstanding client paperwork and pending requests.

Administrative Support

  • Provide direct administrative support to Financial Advisors.
  • Manage calendars, appointments, and office scheduling.
  • Prepare correspondence, letters, forms, and client communications.
  • Organize, scan, upload, and maintain electronic and physical client files.
  • Process incoming and outgoing mail, fax communications, and office documentation.
  • Coordinate office operations and maintain office supply inventory.
  • Assist with special projects and additional administrative tasks as assigned.

Financial and Compliance Support

  • Assist with the preparation and processing of account paperwork, including account openings, transfers, beneficiary updates, distributions, and other client service forms.
  • Review documentation for completeness and accuracy prior to submission.
  • Track pending items and ensure deadlines and compliance requirements are met.
  • Maintain confidentiality of client financial and personal information.
  • Support adherence to firm policies, procedures, and industry regulations.
  • Communicate with custodians, financial institutions, and internal operations departments regarding account servicing matters.

Technology and Systems

  • Utilize CRM software, financial platforms, and Microsoft Office applications on a daily basis.
  • Maintain accurate data entry and electronic recordkeeping.
  • Assist clients with online portal access and electronic signature processes.
  • Generate reports and assist with document management processes.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Previous administrative or customer service experience preferred.
  • Financial services or wealth management industry experience preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent verbal and written communication abilities.
  • Ability to prioritize tasks and manage multiple deadlines effectively.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Ability to maintain professionalism and confidentiality at all times.

Pay: $21.00 – $23.00 per hour
