Job Summary
The Client Services Specialist is an entry-level administrative role that supports daily agency operations within a Medicaid-funded home health care setting. This position focuses on caregiver recruitment, onboarding, HR compliance, and workforce support, while also assisting with service coordination.

Essential Duties & Responsibilities:

  • Schedule and coordinate caregiver assignments based on client needs, authorized service hours, caregiver availability, qualifications, and client preferences.
  • Maintain accurate schedules and promptly resolve call-offs, scheduling conflicts, and staffing emergencies to ensure continuity of care.
  • Communicate schedule updates and staffing changes with clients, caregivers, and agency staff.
  • Monitor utilization of authorized service hours and collaborate with clinical and administrative teams to support compliance with payer requirements.
  • Verify caregiver eligibility, credentials, competencies, and availability prior to scheduling assignments.
  • Maintain accurate scheduling records and ensure timely updates in the agency’s scheduling and electronic health record (EHR) systems.
  • Coordinate staffing and scheduling for new client admissions and start-of-care services.
  • Promote continuity of care by matching clients with appropriate caregivers whenever possible.
  • Provide professional customer service while responding to client and caregiver scheduling concerns.
  • Comply with agency policies and applicable HCPF, Medicaid, CDPHE, HIPAA, and other regulatory requirements.

Compliance & Documentation

  • Maintain complete, accurate, and timely scheduling and client documentation.
  • Support compliance with HCPF, Medicaid, CDPHE, HIPAA, and agency documentation requirements.
  • Assist with preparing records for internal audits, external reviews, and state surveys.
  • Maintain confidentiality and follow agency policies regarding record retention and protected health information (PHI).

Administrative Support

  • Answer phones and direct calls appropriately
  • Maintain logs, trackers, and spreadsheets related to HR and intake activities
  • Assist with special projects as assigned
  • Support office operations and team communication

Required Qualifications

  • High school diploma or equivalent (required)
  • Basic computer skills (email, data entry, Microsoft Office or Google Workspace)
  • Strong organizational and time-management skills
  • Professional written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Reliable attendance and punctuality

Preferred Qualifications

  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Experience in home health, home care, healthcare, or Medicaid-funded services.
  • Experience with scheduling, client intake, or healthcare administration.
  • Familiarity with HCPF, Medicaid, and insurance terminology.
  • Experience using electronic health record (EHR), scheduling, or home care software.

Physical & Work Envrionment Requirements

  • Primarily office-based work
  • Ability to sit, type, and work at a computer for extended periods
  • Occasional lifting of files or office materials (up to 20 lbs)
