We are currently seeking a motivated and detail-oriented Client Service Coordinator to support our growing team.
Position Summary:
The Client Service Coordinator will play a critical role in supporting the day-to-day operations of our office. This position requires a high level of professionalism, attention to detail, and discretion. The ideal candidate will be organized, proactive, and comfortable handling a variety of administrative tasks in a fast-paced, client-centered environment. This full-time position offers meaningful opportunities for professional development and advancement within the firm.
Key Responsibilities:
- Prepare and organize client meeting materials, including financial reports and presentation documents
- Input and maintain client data in the Client Relationship Management system and financial planning software with a high degree of confidentiality
- Manage team calendars, ensuring client meetings, deadlines, and events are properly managed
- Serve as a key point of contact for ensuring a smooth and personalized client experience
- Perform general administrative tasks such as filing, scanning, mail handling, and office supply management
- Assist advisors with day-to-day operations, including inbox management, scheduling and travel planning
- Other duties as assigned to support the team and improve office efficiency
Qualifications:
- Prior experience in an administrative, office assistant, or client service role (experience in financial services a plus)
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Familiarity with Client Relationship Management systems and/or financial planning software is an asset
- Bachelor’s degree preferred; equivalent experience will also be considered
- Ability to manage multiple tasks with a high level of accuracy and confidentiality
- Self-starter with a positive attitude and willingness to learn and grow
