The Role
We're looking for a Client Operations Coordinator who can be the engine behind our Exxat One leadership and account management teams. You'll keep our systems clean, our timelines tight, and our renewals on track. But this isn't a "stay in your lane" role. We want someone who masters the fundamentals fast, then starts raising their hand for more experiences.
Think of this as your launchpad into SaaS operations and client management, with real mentorship from senior leadership along the way.
What You'll Own
Systems and Project Coordination
- Keep client statuses, contracts, and daily task tracking sharp across Monday.com, Salesforce, and our project management tools.
- Be the reason account managers and leadership always have accurate records and clear task ownership.
- Run regular system tuneups:
- Housekeeping: archive what's outdated so our systems stay clean and usable.
- Dashboards: keep leadership and AMs seeing exactly what matters: progress, priorities, bottlenecks.
- Reports: audit existing reports, build new templates, track timelines and ownership.
- Cleanup: standardize naming, statuses, and workflows so nothing falls through the cracks.
Renewal and Accounting Coordination
- Drive the renewal lifecycle: prep documents, send to clients, update records once signed.
- Own the renewal calendar and flag upcoming dates to AMs and leadership before they become urgent.
- Partner with accounting on invoicing, contract updates, and reconciliation, keeping internal data airtight.
- Pull together summaries and supporting materials for internal renewal conversations.
Webinar and Event Coordination
- Own end to end logistics for client and partner webinars: platform setup, registration, reminders, run of show support, and post event follow up.
- Track engagement and attendance data to help the team spot trends and unanswered questions worth following up on.
- Partner with marketing and leadership on webinar content scheduling and promotion timing.
Team and Administrative Support
- Help prep meetings: agendas, notes, follow ups, the works.
- Keep the team on track with tickets: monitoring status, nudging owners, and flagging anything stuck.
- Compile and format reports or presentations for leadership.
- Provide general support to the Exxat One leadership team as needed and look for ways to add value beyond the ask.
What You Bring
- A bachelor's degree in Business, Communications, Accounting, or related field (relevant internships count too).
- Sharp attention to detail and a genuine love of staying organized.
- Comfort with CRM and project management tools (Salesforce, Monday.com, or similar).
- Strong written and verbal communication.
- A proactive, curious mindset. You see a gap and you want to fill it.
