Client Experience & Front Desk Coordinator
Full-Time (40 Hours/Week) + Benefits | Immediate Start
At Velvet Skyn, we believe the client experience begins the moment someone walks through our door. This role is incredibly important because the front desk experience helps shape how welcome, cared for, and valued each client feels.
Our Client Experience & Front Desk Coordinator is often the first and last impression of the practice. This role goes far beyond traditional reception duties — it plays a key part in creating connection, supporting client retention, encouraging rebooking, and helping every interaction feel warm, polished, and seamless.
Who We’re Looking For
We’re looking for someone who is genuinely friendly, upbeat, welcoming, and happy to be in a customer service role. The ideal candidate loves working with people, building relationships, and helping clients feel comfortable and cared for.
This person should be polished, organized, proactive, and confident in both hospitality and communication. They should understand that a great front desk experience directly impacts client loyalty, referrals, and growth.
We are also looking for someone who wants to grow with us long term. This is not a stepping-stone role — we want someone who is excited to become a meaningful part of the Velvet Skyn experience over time.
What You’ll Do
- Create a warm, polished, and welcoming front desk experience for every client
- Manage scheduling, confirmations, rescheduling, client communication, and advertising lead follow throughs
- Support check-in, check-out, rebooking, and treatment plan follow-through
- Help with retail and service recommendations in a helpful, client-centered way
- Support client retention, referrals, and overall practice growth
- Assist with social media content support as part of a team effort
- Help maintain a clean, organized, and client-ready space, including basic office cleaning duties
- Participate in team meetings, trainings, events, and other operational support as needed
What We’re Looking ForRequired
- Experience in reception, front desk, hospitality, customer service, sales, or administrative support
- A warm, service-oriented personality and strong people skills
- Strong communication, organization, and attention to detail
- Confidence building rapport with clients and recommending next steps when appropriate
- Willingness to support social media content and basic office upkeep as part of the role
- Interest in a full-time, long-term position with room to grow
Preferred
- Experience in aesthetics, med spa, wellness, dermatology, plastic surgery, or luxury service
- Experience with rebooking, client retention, retail sales, or upselling
- Experience supporting marketing, events, or social media as part of a team
