We’re opening our stunning new location at The Galaxy in Westerville, and we need an exceptional individual to be the face of our brand and create unforgettable first impressions for our discerning clientele.

THE OPPORTUNITY
As our Client Experience Coordinator, you’ll be the heartbeat of our operation. You’re not just greeting clients—you’re orchestrating experiences, managing the flow of a luxury wellness studio, and creating the kind of personalized service that keeps our high-end clientele coming back. You’ll work directly with our General Manager/Senior Management and technicians to ensure every client feels like a VIP from the moment they walk through our doors.
WHAT YOU WILL DO
- Create Magic Moments: Greet every client with warmth and professionalism, making them feel valued and excited from the moment they arrive
- Master Operations: Manage appointment scheduling, client database, payment processing, and daily administrative tasks with precision
- Drive Sales: Promote services, packages, specials, and retail products, both inside the studio and at outside events, with genuine enthusiasm
- Build Relationships: Develop rapport with clients, remember their preferences, and anticipate their needs like a true hospitality professional
- Maintain Excellence: Keep the front desk, waiting area, and studio immaculate and organized at all times
- Handle Communications: Manage phone calls, texts, emails, and leads promptly and professionally
- Support the Team: Coordinate with technicians to optimize scheduling, minimize wait times, and maximize client satisfaction
- Solve Problems: Handle client concerns with grace, turning potential issues into opportunities to exceed expectations
- Champion the Brand: Embody The Tox® values and represent our premium positioning in everything you do

REQUIREMENTS
- High school diploma or equivalent (Required)
- Minimum 1-2 years of customer service and/or sales experience, preferably in luxury retail, hospitality, spa/salon, medical aesthetics, or similar premium service environments
- Excellent verbal and written communication skills
- Professional appearance and demeanor
- Strong attention to detail and organizational skills
- Proficiency with computers, smartphones, and ability to learn new software systems
- Flexibility to work evenings, weekends, and occasional extended hours
- Reliable transportation and punctuality
- Must be at least 18 years of age
- Legally authorized to work in the United States
PREFERRED QUALIFICATIONS
- Experience with appointment scheduling software (Mindbody, Boulevard, Vagaro, or similar)
- Experience in the beauty, wellness, or medical aesthetics industry

ADDITIONAL DETAILS
- Job Type: Both part-time and full-time positions available
- Location: In-person at The Tox® Westerville – The Galaxy
- Schedule: Shifts typically range from 4-8 hours, with availability needed for evenings and weekends
- Start Date: June 2026 (training begins earlier)
