Golden State Rehab LLC is a launching outpatient substance use disorder treatment program dedicated to delivering high-quality, compassionate care to individuals and families affected by addiction. Position Overview
We are looking for a motivated and organized Client Care Coordinator to join our team as we launch our outpatient SUD program. This is a hands-on support role that works directly alongside the Program Director, clinical counselors, and administrative staff to keep day-to-day program operations running smoothly.
The right candidate has some experience in a behavioral health, substance use disorder, or clinical office environment and is ready to contribute to a startup environment where every role matters.
Key Responsibilities
Operations Support
- Assist the Program Director with daily operational tasks and administrative workflows
- Help maintain organized office systems, supplies, and program materials
- Support scheduling coordination for staff, clients, and program activities
- Assist with documentation filing and records organization in compliance with confidentiality standards (42 CFR Part 2 / HIPAA)
- Contribute to quality assurance by flagging operational concerns to leadership
Intake Assistance
- Greet and orient incoming clients in a professional and welcoming manner
- Assist with intake paperwork, consent forms, and initial data entry
- Verify and collect required documents at admission (ID, insurance cards, referral forms)
- Support the admissions process by coordinating with counselors and the Program Director
- Maintain accurate and timely records in the EMR system
Client & Program Support
- Monitor client sign-in, attendance logs, and group rosters
- Assist with transportation coordination or scheduling as needed
- Communicate client concerns or incidents to clinical staff promptly
- Support a safe, structured, and therapeutic environment at all times
- Assist with group room setup, materials prep, and program logistics
Communication & Coordination
- Answer phones and manage incoming inquiries in a professional manner
- Relay messages between departments accurately and in a timely way
- Assist with outreach and referral coordination as directed by leadership
- Communicate with outside providers, labs, or agencies as needed under supervision
Required Qualifications
- Minimum 1 year of experience in a behavioral health, substance use disorder, healthcare, or social services setting
- Familiarity with the substance use disorder or mental health treatment environment
- Strong organizational skills with attention to detail
- Ability to maintain strict confidentiality of client information
- Comfortable working in a fast-paced, startup environment with evolving responsibilities
- Proficient in basic computer use — email, scheduling, data entry, and document management
- Strong interpersonal and communication skills
- Reliable, punctual, and professional in appearance and conduct
- TB clearance completed within required timeframes (and maintained annually)
Preferred Qualifications
- Experience working in an outpatient SUD, PHP, or IOP program
- Familiarity with EMR systems such as KIPU, SAGE, or similar platforms
- RADT (Registered Alcohol/Drug Technician) certification or enrollment in an AOD certification program
- CPR / First Aid certification (or willingness to obtain)
- Bilingual (English / Spanish or other languages) is a plus
- Live Scan clearance or ability to complete prior to start
Work Environment & Schedule
- Monday through Friday, daytime hours (schedule to be confirmed at hire)
- In-person position at our outpatient facility
