Visa Information
TTUHSC, at its sole discretion, may initiate new H-1B I-129 visa petitions in accordance with the directive issued by Governor Abbott. Approval from the Texas Workforce Commission is required. On a limited, case-by-case basis, the institution may also sponsor eligible individuals for change-of-status or change-of-employer petitions for qualifying positions. TTUHSC will not pay the $100,000 fee, if applicable.
Position Description
The Clerkship Coordinator is responsible for coordinating the daily operations of the Clinical Department Clerkship. The Clerkship Coordinator ensures proper organization and monitoring of medical student activities, as well as ensuring compliance with LCME regulation. This job has no supervisory responsibilities.
Major/Essential Functions
- Manage multiple competing priorities, deadlines, and complex scheduling requirements for the program.
- Coordinate and track numerous student, faculty, and program requirements.
- Coordinate educational programs, clinical rotations, meetings, events, or academic activities.
- Maintain accurate records, databases, schedules, evaluations, and student documentation.
- Independently organize workflows and anticipate program needs.
- Communicate professionally and effectively with medical students, faculty physicians, residents, advanced practice providers, hospital staff, and university leadership.
- Build and maintain positive working relationships with internal and external stakeholders.
- Represent the department professionally while serving as a primary point of contact for students and faculty.
- Coordinate and manage third- and fourth-year medical student clinical rotations, including orientation, scheduling, evaluations, and educational activities.
- Support clerkship accreditation requirements, student records management, and program reporting.
- Coordinate meetings, educational conferences, student events, recruitment activities, or academic programs preferred.
- Monitor deadlines and ensure timely completion of student evaluations, assessments, and required educational documentation.
- Comply with confidentiality requirements related to student records and academic performance.
- Work with databases, reporting tools, scheduling systems, and electronic record systems.
- Prepare reports, track program metrics, and maintain accurate educational records.
Required Qualifications
Bachelor’s degree plus two (2) years related experience; OR a combination of education and/or related experience to equal six (6) years.
Preferred Qualifications
- Experience working in higher education, academic medicine, healthcare administration, student services, or graduate medical education.
- Experience coordinating educational programs, clinical rotations, student scheduling, or academic activities.
- Experience working with medical students, residents, faculty physicians, or healthcare professionals.
- Knowledge of medical education processes, accreditation requirements, or clinical learning environments.
- Proficiency with Microsoft Office Suite, learning management systems, scheduling software, and database management.
- Demonstrated ability to manage multiple projects, deadlines, and competing priorities in a fast-paced environment.
- Experience providing administrative support to leadership, committees, or educational programs.
