Church Events and Operations Coordinator

Summary

The Church Events and Operations Coordinator creates and demonstrates a cohesive, organized, and welcoming environment for the life of the church by:

  • Coordinating and supporting successful church events and activities through hands-on leadership and clear communication
  • Managing and performing clerical and office operations
  • Consistently using positive, professional communication with staff, members, and visitors
  • Providing proactive daily operational support to ensure the seamless functioning of church programs and facilities

Responsibilities

Events and Administrative Operations

  • Coordinate, with oversight, scheduling and logistics for church events and activities, with priority given to effective communication with staff and volunteers regarding timelines and responsibilities
  • Manage, with oversight, clerical and administrative workflow, including but not limited to:
  • Worship bulletins
  • Friday e-newsletter
  • Sunday worship email
  • Correspondence
  • Phone coverage
  • Essential record-keeping
  • Communicate clearly with staff regarding deadlines, meetings, and events to ensure timely completion of responsibilities
  • Maintain the master church calendar, including scheduling classes, meetings, programs, and special events, while preserving records for future reference
  • Schedule and coordinate facility use for outside groups, including weekly, monthly, and one-time events; maintain an up-to-date list of user groups and contact information

Office Management and Staff Coordination

  • Provide supervision and coordination for the Office Assistant, including role responsibilities and defined tasks
  • Support office management by maintaining supplies and overall orderliness
  • Recruit, train, and schedule office volunteers as needed
  • Coordinate building access, including management of door codes and access schedules

Facilities Support

  • Purchase custodial and basic maintenance supplies as needed for building operations
  • Coordinate and assign custodial staff schedules and daily work to support facility use and church programming
  • Provide documented observations and recommendations for custodial staff performance evaluations; all other personnel responsibilities remain under the purview of the Trustees and/or designated representatives
  • Coordinate and schedule building maintenance needs under the direction of the Trustees, including routine upkeep of buildings and grounds
  • Serve as staff liaison to the Trustees for facility support

Additional Responsibilities

  • Prepare administrative and documentation forms related to lay leadership transitions as directed by the Senior Pastor
  • Update leadership, committee, and role assignments in the church database following Charge Conference or other official actions
  • Assist with year-end administration and denominational reporting

Reporting Relationship

  • Reports directly to the Senior Pastor
  • Works collaboratively with program staff, Trustees, Staff-Parish Relations Committee (SPRC), and volunteers

Qualifications

  • Bachelor’s degree in business administration, event management, or a related field preferred

OR

  • High school diploma with prior experience in event coordination, clerical work, or office management

  • Excellent organizational and multitasking skills
  • Strong written and verbal communication skills
  • Strong interpersonal skills with the ability to work effectively across staff and volunteer teams
  • Proficiency in relevant software for clerical, scheduling, and administrative tasks
  • High attention to detail and accuracy
  • Ability to work in a team environment and adapt easily to changing priorities

Additional Requirements

  • Willingness to work occasional evenings and weekends for events and meetings
  • Consideration will be given to candidates with a combination of relevant education, experience, and genuine commitment to supporting the ministry and mission of the church

Work Schedule and Classification

This position is classified as hourly (non-exempt) and is expected to work approximately 30–35 hours per week.

The role is primarily in-office during weekday business hours with limited Sunday responsibilities. Work hours may flex within the established range based on operational needs and scheduled events.

Job Type: Full-time

Pay: $24.00 – $26.00 per hour
