SUMMARY
The Catering Coordinator ("Coordinador/a de Catering") will provide all aspects of administrative support for the Catering department; perform marketing projects and other tasks as assigned by the Director of Catering. This is an excellent entry level position into Catering, Weddings and Event Management with growth potential.

Compensation: $25.50 – $28.50 DOE** -

ESSENTIAL DUTIES
-
Handle incoming telephone calls, answer questions, check voicemails and secure all information.

Qualify phone leads and assign to the correct catering manager.

Assist Catering & Conference Service team with clerical and administrative support including but not limited to data entry and emailing.

Ensure catering department cleanliness, organization, office equipment, and supplies are maintained to obtain maximum efficiency. (example catering folders, amenities, etc…)

Generate, detail, manage and complete upcoming internal documents accurately, in a timely manner, obtain guarantees, confirm arrangements, continue to follow-up until the task is complete.

Record meeting minutes for internal team meetings and distribute to team before end of day.

Check mailbox, obtain outlet and cash receipts and record.

Create signage for daily onsite programs and events.

Assist with amenities, welcome cards, catering, wedding, and preplanning site forms, tasting menus.

Contract turnovers for catering sales, make sure everything in Ivvy matches the contract.

Responsible for distribution of weekly BEO packets and daily changes/events to all departments.

Responsible for all weekly event reports as requested by manager or Director as well as monthly sales reports. Daily maintenance of actual sales report. Pace Booking Reports monthly.

Perform correspondence for weddings, special events, holiday parties, and other marketing projects, building and maintaining vendor/client relations.

Responsible for creating files and maintaining filing system for managers and Director.

Send out group survey for events/meetings/groups.

Assist in special projects concerning the conference service, catering & wedding.

Develop and maintain strong interdepartmental relationships and open communication lines to assure efficient transfer of information.

This position will develop the coordinator to handle small groups with minimal food and beverage requirements.

QUALIFICATIONS

At least 1-2 years of relevant experience and/or training.

A combination of experience, education, and/or training may be substituted for requirement.

Previous similar position in a hotel, or similar business entity preferred

Must be able to attain a valid San Diego County Food Handler certification upon hire. Evans Hotels will provide this training and is to be completed at the company’s expense.

RBS Certification required.

Ability to always maintain a friendly, professional, team-oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.

Availability to work on weekends and holidays is required.

Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.
