An exciting opportunity has arisen to join our Cancer MDT Coordination team in a job‑share capacity. We are seeking one or two skilled administrators to support our multi‑disciplinary teams by meticulously tracking patient pathways and ensuring the accuracy of national cancer waiting times datasets and disease registration.

Responsibilities

As a Coordinator, you are the backbone of the patient journey. You will:

  • Track every step of a suspected cancer pathway to ensure no patient is missed.
  • Prepare and facilitate treatment planning meetings (MDTs), including live‑typing outcomes.
  • Escalate potential delays and ensure clinical information is shared securely with partner hospitals.
  • Navigate multiple clinical systems to maintain data integrity under tight weekly deadlines.

About You

We are looking for conscientious individuals with a high level of attention to detail and the ability to absorb complex clinical information. You should thrive in a fast‑paced environment and be comfortable with high‑volume data entry. Whether working independently or as part of a team, you must be proactive in managing patients across all tumour sites.

Main duties of the job

  • Work as a key member of the Cancer Services team ensuring that our cancer patient’s care and experience is central to every stage of their journey.
  • Support Cancer Leads in delivering effective, well‑structured MDT.
  • Ensure accurate and timely tracking of all required data for all of their cancer patients on Somerset Cancer Register, while meeting the data standards for Cancer Waiting Times, National Cancer Audit requirements and local SOPs.
  • Undertake all aspects of tracking patients to waiting time targets including escalating demand and capacity issues promptly at an early stage of the patient pathway.
  • Ensure Standard Operating Procedures (SOPs) are being adhered to, escalating any identified amendments to the Manager.

Job responsibilities

Patient Tracking, appointments and audits

To actively track patients progress on a daily basis, throughout the patient pathway to ensure care is carried out in a timely fashion and follows escalation and PTL (Patient Tracking List) processes. To ensure that all cancer referrals received by Trust are recorded in a timely fashion into Somerset/PTL and patients have a booked first appointment, investigation and procedure and record details on the appropriate electronic system.

To collect and record cancer waiting times and report potential breaches.

Cancer Multi-Disciplinary Team (MDT) meetings

To ensure that all appropriate cancer patients are identified and discussed  ensure MDTs are planned, scheduled and prepared in advance, with specific attention to the impact of bank holidays or staff absence. Including invites, attendance lists, room bookings, staff cover and handover.

Other

To facilitate all aspects of annual meetings, improvement meetings, internal review and National Peer Review as required. To build both awareness of other MDT coordinators processes (to enable effective cover), but also the wider provision cancer services. To build effective communications and professional relationships with Cancer Service team members at other Trusts.

Qualifications and knowledge

  • Good general education including English minimum of 5 GCSE (Grade A to

    C) or equivalent.

  • Strong IT skills in relation to Microsoft packages including Word/Excel to NVQ level 3.
  • Typing qualification or equivalent experience.
  • ECDL qualification or equivalent.

Experience

  • Ability to accurately and efficiently input and retrieve information on a computerized system whilst adhering to complex local and national policies and guidelines.
  • Experience of handling inbound and outbound telephone calls of a potentially sensitive nature.
  • Working in a busy environment dealing with large numbers of the queries from staff or the general public.
